How to make sure you receive notifications when a new lead has been entered

Learn how to directly be informed when generating new leads without having to check the CRM.

In this article, you'll learn how to easily set up email notifications and integrate HubSpot within Onepage. Whether you want to receive notifications for specific forms or quizzes, or sync your leads directly to HubSpot, this guide will walk you through the essential steps. Of course, you can also use other integrations for the notifications, such as Telegram, Zapier, Make and others.

Set up e-mail notifications

Step 1: Go to the project for which you want to create an email notification

Step 2: Add integration

Click on CRM ➡️ Add integration ➡️ Email.

📌 Please note: You can assign certain forms/quizzes to lists and set a separate integration for each list.

This allows you to set separate notifications for specific forms/quizzes.

If you have created several lists, select the appropriate list, otherwise stay in the general overview.

Step 3: Set up the integration

In the pop-up window, select a template, your subject (topic) for the notifications and your email address to which the notifications should be sent. If you are creating a page for a customer, for example, you can send the notifications directly to the customer.

📌 Please note: all lead information is automatically transferred to the standard template.

If you want to create your own template, please add the "Lead table" element.


Set up HubSpot integration

Step 1: Log in to Hubspot

Step 2: Access settings

Step 3: Click on Integrations ➡️ Private Apps

Step 4: Create a private app

Please click on "Create private app" and fill in all the required fields.

Please activate the following option in the "Scopes" tab:

Step 5: Copy token

Step 6: Go to the project for which you want to integrate Hubspot

Step 7: Add HubSpot integration

Click on CRM ➡️ Add integration ➡️ HubSpot.

In the field "HubSpot API Key" please add the token of your private app.

Step 8: Check contacts

📌 Please note: when testing, please do not enter the same email address more than once in the form, as HubSpot is able to recognise and ignore duplicates.

Frequently asked questions and solutions

I have set everything according to the instructions but I am not receiving any notifications, why?

Please check whether the leads are successfully transferred to the CRM system. If this is not the case, no emails will be triggered. Please note that the emails can sometimes end up in the spam folder.

How can I ensure that all the lead's information is sent?

Please add the "Lead Info" element to your e-mail template.

How can I ensure that the UTM parameters are also sent in the e-mail?

The customised parameters are automatically integrated into the email. However, the standard parameters, such as utm_source, are not automatically included. To do this, it is necessary to set up a hidden field for each parameter. Instructions are available here.

How can I determine in HubSpot which forms the lead comes from?

It is currently not possible to transfer custom fields or form names to HubSpot. However, it is possible to establish a connection with Zapier and label the individual forms accordingly
