How to set up multi-user mode in the OneSoil mobile and web apps

Multi-user mode helps you and your colleagues use the same workspace. Depending on your role, you can add, delete, edit, or just view fields, notes, NDVI images, prescription maps, and weather charts.

👨‍🌾 Description of roles

Multi-user mode has 4 roles: Owner, Administrator, Editor, and Viewer.

The Owner:

  • Has access to all information in the workspace

  • Can edit, add, or delete any information in the workspace

  • Can assign roles and add and delete users with access to the workspace

  • Can't be deleted from the workspace

The Administrator:

  • Has access to all information in the workspace

  • Can edit, add, or delete any information in the workspace

  • Can assign roles and add and delete users that have access to the workspace

The Editor:

  • Can edit, add, or delete information he/she has access to in the workspace

The Viewer:

  • Can view shared data

The workspace can only have one owner, but the number of administrators, editors, and viewers is unlimited.

One user can have different roles in different workspaces. For example, you can be an Owner in your workspace and a Viewer in your colleague's workspace.

To switch between workspaces in the mobile app, open the Profile tab and tap Switch Workplace. Select the workspace you need.

In the web app, click the workspace name in the top-left corner of the screen and select the one you want.

🔐 Regardless of role, all participants have full access to workspace information.

Full access means that the user has access to all field information in all seasons (fields, weather, NDVI images, notes, prescription maps, field operations, and field data files), but doesn't have access to the Sensors and Modems tabs. If new fields are added to the workspace, they'll be displayed to all users.

⚙️ Setting up a workspace

Congratulations! You're the owner of a workspace! Setup begins with naming the workspace and inviting colleagues to join it.

💡 Multi-user mode is available in both the mobile and web versions, but with some differences. The mobile app allows you to switch between available workspaces and work with data in line with your role. Editing and assigning roles can only be done in the web app.

1️⃣ Naming the workspace

By default, the workspace is named OneSoil, but the owner needs to rename it before inviting users. For example, you can name it after your farm. If needed, the owner or administrator can change the name.

2️⃣ Inviting users and assigning roles

To invite a user to the workspace, click +Invite Users under the Team Members tab in the web app. Enter the user's email and name, then select their role. You can invite multiple users at once. Once sent, the invitation will be valid for 24 hours. If the user doesn't accept it within this time, you can resend the invitation.

3️⃣ Editing the workspace

The Owner and Administrator can edit the workspace settings (change its name, invite and delete users, manage access rights).

To manage workspace users and edit info about them, tap the workspace name in the top-left corner of the screen and go to the Team Members tab. This is where all workspace management is done. Tap the three dots next to the user's name and select Edit.

To change the workspace name, click Workspace Settings in the top-left corner of the screen and select Edit.

4️⃣ Logging into a workspace you've been invited to

It's easy! After another user invites you to their workspace, we'll notify you at the email specified in the invitation. Follow the link, log into your account or sign up if you're not registered, and voilà! You're in the workspace now!

5️⃣ Deleting a user from the workspace

The Owner and Administrator(s) can delete other users from the workspace in the Team Members tab. Click the three dots next to the user's name and select Delete.

If you decide to leave the workspace permanently, click its name in the top-left corner of the screen and select Leave Workspace. Any user can leave the workspace permanently except for the Owner.
