Creating a New User on OneUp

Overview

You've got a new starter - great! It's easy to create an account for a member of your team on OneUp, and we have different account options depending on the user's needs:

  • Full users are the typical account you would use to assign to a member of your team that records data day-to-day on any of your connected integrations. Full users are licensed accounts and contribute to your billing.

  • Observer users are the other option. These accounts are unlicensed, however you are not able to view data assigned to observer users on the platform.
    This account type is useful for a manager or operations team member who needs oversight on the OneUp platform (either for reporting purposes, or for configuring dashboards, incentives and targets for other users on OneUp) and don't contribute data to a connected integration.

Both full user and observer account options offer flexibility in permissions - for example, you're able to grant administrator privileges to a full user, thus allowing them to view reports and set up targets and competitions if they're a manager that also wants to view their own data on the OneUp platform.

If you know which account you need to set up, follow the steps for either option below.

Option One: Your new user already exists on your CRM/VOIP System and you want to log data against them on OneUp

By default, your account must have admin permissions to create new users on OneUp.

If your user hasn't logged any data on your CRM or VOIP system, their account may not appear in the list of accounts to link up in the following steps. In this case, follow the steps for option two and be sure to link their account later.

1. Click into the Manage menu on the navigation bar of the platform, and select Users.

2. In the top right of the screen, click Create Users.

3. In the window that appears, enter the new user's email as it appears in your CRM. If OneUp can, it will try to auto-guess the forename and surname.

When you enter the email address, the list of accounts in the table at the bottom of the creation window will attempt to suggest relevant accounts for the user you're trying to create.

To connect an integration account, click select on the right side of the table.

4. At the bottom of the page, we show you the accounts we would expect the user to be linked to. You do not have to link all integrations, however, we do advise it to avoid data-related issues in the future.

5. Finally, you can create the user! At the bottom of the window, you will see the following options:


If the Invite user? toggle is turned on, once the steps are complete an email will be sent to the email address you entered for the new user instructing them to join OneUp and complete the signup steps. If you leave this toggle off, you can invite your new user(s) at a later date from the Users page.

You can then either select Create, which creates this user and closes the window, or Create and add another, which creates the user and keeps the window open if you need to add another.


Option Two: Your new user doesn't exist on your CRM/VOIP System, or you want to make an Observer user

  1. Click into Manage on the top bar of the platform, and select Users from the menu.

2. In the top right of the screen, click Create Users and then select Manually.

3. In the window that appears, fill in the details of your user, including whether they are a Full User or an Observer.


Remember, a full user can have data logged and viewed against them, take part in competitions, have targets set against them etc, whereas an observer user can view other users' performance data, but not have their own performance data logged or inspected.

4. Once you have entered the users details, you can either chose to add another new user by hitting the Add User button, or hit Create to close the window.

Make sure to toggle the option to Invite User on, otherwise your new user won't be invited to the platform.
