Step-by-step Guide

Here's a step-by-step guide on how to migrate to our new data access feature:

Step 1: Understand what data access is and how it works

Data access allows customers to control who can see whose data on the platform. This means that you can restrict access to certain data based on specific criteria such as user, team, or region. To learn more, read our Data Access guide.

Data access replaces several permissions on the platform that currently imitate data access control.

Step 2: Navigate to the Teams page

Data access is set up on individual teams. The team a user is in will dictate whose data they have access to view. Navigate to the Teams page where we'll complete the following steps.

Step 3: Review all of your teams and ensure they have the correct members

Before migrating to the new data access feature, make sure that all of your teams are properly set up with the right members.

For backwards compatibility we have created a new team called 'Data Access Backwards Compatability'. Any user who did not belong to a team has been added to this team to ensure they can still see other users' platform data.

Any users that do not belong to a team will only be able to view their own data. Always ensure all users are part of a team with an appropriate data access level.

Step 4: Assign a manager for each of your teams

Each team can have a manager assigned who is responsible for overseeing the team's performance. Setting a manager is important if you want to use the Manager Only data access level.

You can customise whether a manager contributes data to the overall teams data using the contributor toggle:

In the above example, Alex Phillips is a manager of the team but his performance does not contribute to the team's total. Bart Simpon is also a manager however his performance does contribute to the team's total.

Step 5: Configure who should have access to whose data

Determine how you want to restrict access to data based on your specific needs. Once you've determined how you want to restrict access to data, update the data access level of your teams to match this. You can do this by opening the edit window for each team and adjusting the data access level accordingly.

Example

Below is an example use case of a Data Access scenario.

Acme Co has a UK and a US division. Each division has several teams within them. They have the following requirements:

  • Everybody in the US should be able to see any US team's data.

  • Everybody in the UK should be able to see any UK team's data.

  • Nobody in the UK should be able to see anybody in the US's data.

  • Nobody in the US should be able to see anybody in the UK's data.

To accommodate this, a UK and US team are created. Both have the 'This + Other Team' access level.

US Example

NYC is a team in the US, therefore they have been added to the US team. Everybody in the US team can view each others data + the data of everybody on the NYC team.

UK Example

London is a team in the UK, therefore they have been added to the UK team. Everybody in the UK team can view each others data + the data of everybody on the London team.

Step 5: Verify the data access

Once you've updated your teams' data access levels, use our data access checker tool to verify that the correct data access levels have been applied.

Step 6: Set the default data access level for new teams

By default, all new teams will be created with the 'everyone' access level, however, you can customise the default data access level for newly created teams.

Navigate to your Settings page and open the Organisation Settings. At the bottom, you will see a 'Default Team Data Access Mode' setting. Set this accordingly for the access level you wish for new teams to be created with.

Step 7: Enable all redundant permissions

Data Access will replace several permissions which previously helped to guard who could access whose data on the platform. With the introduction of Data Access, these permissions are no longer required.

Once you are happy with the data access setup for your company, enable the following permissions for all roles:

  • View Other Users' Dashboards

  • View Own Teams Dashboard

  • View Own Team Leaderboards

  • View All Leaderboards

The above permissions will be removed on the 1st of September 2023.
