How orders & fulfillment works for prepaid subscription orders

If you have prepaid subscriptions, you probably wonder how your orders will appear on Shopify under the Orders tab.

Shopify handles prepaid subscription orders a little differently than a regular order.

In a nutshell: Shopify does populate follow-up orders for prepaid subscriptions, but they are located under the original order number. So you’ll want to click the original order number to see the follow-up orders listed within it.

When a customer orders a prepaid subscription, Shopify will create an origin order. This is the first original subscription order. This first order is created according to the purchase date, & the order is immediately created right after purchase.

All future recurring orders will be nested under this origin order.

So let's say the first prepaid subscription order was #1018

The next recurring order would be #1018-F1, listed under the original order #1018.

Does Shopify populate new orders for prepaid subscriptions?

Yes, Shopify does populate follow-up orders, but they are located under the original order number.

You’ll need to click the original order number to see all the follow-up orders listed within it. You’ll have to click order #1018 to see orders #1018-F1, #1018-F2, #1018-F3, etc.

Example of how a 3 Month prepaid subscription would work:

If a customer orders a 3-month gift subscription in October, an order will be created. Let’s call it order #1018.

And then, in November, a new order will be created under that original order. So the new November order #1018-F1 will be listed under the original order #1018.

Does Shopify create new orders to be fulfilled?

Yes, Shopify creates new orders to be fulfilled but can be found under the origin order. Example: You’ll have to click #1018 to see #1018-F1, #1018-F2, etc.

How do I know it's time to ship out a prepaid subscription?

In Shopify Orders, under the Fulfillment column, look for the status:

Unfulfilled and/or Partially Fulfilled.

How can I see only those subscription orders I need to ship out?

You can also filter orders by their fulfillment status.

On the Orders page on Shopify, click Filter

Click Fulfillment status.

Check both Unfulfilled & Partially fulfilled

Why do subscription orders appear this way on Shopify?

Shopify is in control of how subscription orders populate and how they appear on your Orders page. Shopify chooses to treat prepaid subscription orders in this way.

Do prepaid subscription orders appear differently on the Shopify Orders page than pay-per-delivery subscription orders?

Yes. With Pay Per Delivery subscription orders, a new individual subscription order will appear on the Shopify Orders page.

So if the original order is #1019, then the next recurring pay-per-delivery order will pop up as #1020, and so on and so forth. You don't have to click the original order number to see recurring orders with pay-per-delivery subscriptions. Pay per delivery orders will each individually appear on the orders page.
