How do I invite multiple employees at once using Bulk Invite?

Admins can now easily onboard employees to OnHand using our Bulk Invite feature! Here's everything you need to know to get started 👇

How do I use Bulk Invite?

1. Go to the Members page
From your admin dashboard, click on the ‘Members’ tab.

2. Click ‘Invite Members’
You’ll see a pop-up window where you can upload a CSV file.

3. Download and fill in the CSV template (if needed)
The file should include the following columns:

  • Email

  • First Name

  • Last Name

4. Upload your CSV
Drag and drop the completed file into the pop-up.

5. Review the pending invites
Check the list of users to be invited. There’s no technical limit to the number of invites you can send (just be mindful of your contract limits).

6. Preview and send
You’ll see a preview of the email each person will receive. Once ready, click ‘Send’.


What will the invite email say?

The invitation will include a personalised message showing who invited them, along with your company name. It will include a link for the recipient to join the platform.


What happens next?

1. The employee clicks the link in the email
This takes them to the onboarding process.

2. If your organisation uses Single Sign-On (SSO):
They’ll go through the usual SSO flow.

3. If you don’t use SSO:
They’ll be prompted to set a password and verify their email.

4. Final step:
They’ll choose their team and complete registration.


Can I track and manage invites?

Yes! From the Members page, you can:

  • View who’s accepted and who’s still pending.

  • Turn on auto-reminders to automatically send weekly follow-ups to those who haven’t joined yet.


Good to know

  • Double-check that your CSV is properly formatted.

  • Make sure all email addresses are valid to avoid bounce-backs.

  • There's no limit to how many people you can invite at once.

  • Prepare your CSV in advance for a smoother process.

  • Check the Members page regularly to manage outstanding invites.
