Create student activities in the activities module

Activities Directors and office professionals can create activities and link coaches, advisors or directors with the Activity module!

Creating student activities is the perfect way to manage fine arts, athletics, or any group of students in your school that are associated with an adult. Name your activity, associate a coach/advisor and utilize special features like including the activity on transcripts or associating physical, concussion awareness and/or parent permission for easily running compliance reports. Create activities groups to make quick work of roster management and communication in jmc!

Start creating student activities in jmc Office by heading to Activities > Edit Activity Definitions!

Step One: Click the “Add Activity” button to begin a new activity entry.

Step Two: Enter numbers, letters, or a combination of both in the “Code” field to identify the activity throughout jmc.

Step Three: Enter a name in the "Activity Name" field to define your student activity.

Step Four (optional): Place a checkmark in the "Include on Transcript" checkbox if you want to include the activity on student transcripts.

Helpful Tip: Enter a name in the "Advisor" field to note the advisor or coach associated with the activity for future reference.

Step Five (optional): Enter the oldest acceptable date in the "Physical Exam Date", "Parent Permission Date", and "Concussion Awareness Date" fields or simply click the calendar icon to utilize the compliance reporting feature in the Activities module.

Helpful Tip: Remove the checkmark from the "Active" checkbox to make an activity "inactive" if the activity will not be offered in the current year.

Fun Fact: Inactive activities will be hidden from the coach/advisor mobile app to keep active rosters front and center.

Step Six (optional): Select a fee using the "Activity Fee" drop-down list if a fee from the tuition and fees module is charged to students in this activity.

Step Seven (optional): Enter an iCal URL in the "iCal Link" field to associate iCal schedule information with this activity.

Helpful Tip: Head to File > Integrations and place a checkmark in the "Enabled" checkbox for the iCal integration to display the "iCal Link" field in the Activities module.

Fun Fact: Associating an iCal link with an activity will import an activity schedule from an online calendar automatically into the File > Event Scheduler nightly to save you time in updating multiple calendars!

Step Eight: Click the "Save" button to save the activity information.

Step Nine: Click the "+ Add Coach/Advisor" button and select a coach/advisor from the "Coach/Advisor" drop-down list to grant individuals access to the Coach/Advisor mobile app and Activity group messaging features in jmc Teacher.

Helpful Tip: Not seeing your coach/advisor in the drop-down list? Add a coach/advisor on the Activities > Edit Activity Coach/Advisor page. Include administrators, activities directors, or assistant coaches on activity rosters, ensuring they stay in the loop for all emails and text messages sent to the group.

Step Ten: Enter a description (i.e. "Head Coach") in the "Position" field to define the coach/advisor's role.

Step Eleven: Click the "Save" button to save a coach/advisor to the activity or click the "Cancel" button to discard changes.
