Understanding the Messaging Feature

The Messaging feature is designed to be easy to use for both sending and receiving messages. This helps you connect to your agents and contacts that have a portal view which allows you to get up-to-date information quickly. Even if your contact doesn't have a portal view, you can still send them a message via the email address you have on their profile.

There are a couple of different ways to get to your Messages. The first is by clicking on the @ symbol in the upper right corner when you are on the Dashboard. This will take you to your global Messages board, meaning it will have messages from all of your properties.

The other way to get to Messages is by going to a specific property and clicking on the Messages header to the left of Tasks.

For this article, we will be using the global Messages option to go over each section. The global Messages option is almost the same as the Messages option on the property. The only difference is that you can refresh your messages in the global Messages section.

Understanding the Different Parts of Messages

The first thing you will notice is the search bar which allows you to search for specific keywords rather than scrolling through all of your messages.

Below the search bar, you can click on New, Read, Sent, Pinned, Archived, New Message, or Refresh. Each section is broken down below.

New

This section shows you any new messages that have not been marked as read. Marking it as read will move it to the Read section. Let's go over the different parts of a new message which have been broken down into boxes in the image below.

Box 1

You can see who the message went to, who it's from, when it was received, and the address the message is associated with. Clicking on the address will take you to the property details for that transaction.

Box 2

Clicking on Add Reply will open a side panel to the left where you can respond to the message.

You can view any other message(s) connected to the one you are on by clicking View Thread. Each message has the option to add a reply, so you can easily comment on whatever message you need.

Box 3

If the message is important, you can pin it so it's easy to find. Click on the pin icon for it to stay in the Pinned section.

Once you've read the message, and you don't want to keep it in the New section, click on Mark as read. It will change to Read, and the red dot next to it will turn green. It will also move to the Read section.

If you need to delete the message from your account, click on the trash icon. Be careful with deleting messages since this action cannot be undone. If you're not sure whether you want to keep a message, you can always archive it.

Box 4

There might be times when you need to add someone to a message whether that's because the reply didn't go to everyone it needed to, or you need to loop in someone else on the transaction. This can be done by clicking on Manage Collaborator(s) which is only available to any Transaction Coordinator or team member on the transaction.

Logs show you if and when someone opened the message. Much like managing your collaborator(s), this option is only available for your TC or other team members on that transaction. If you see that any of the collaborators haven't read the message, you can ping them which will send a reminder to them regarding the message.

If you don't need to see the message anymore, you can archive it so it's still in your account, but out of the way. This option is available to all TCs, team members, and portal users.

Read

The Read section will show everything that you've marked as read. If you want to keep it in the New section, click on Read next to the green dot to change it back to Mark as read.

Sent

From the Sent section, you will see all of the different messages you have sent from your account. Each message shows who it was sent to, that it was sent by you, the date and time it was sent, the address associated with the message, and the subject of the message.

Box 1

If the address listed on the sent message doesn't match the one you intended to send the message from, you can click on the drop-down option to search for the property it needs to be associated with.

Box 2

This box will look very similar to Box 4 in the New section. For the Sent section, you have View Thread, or if you are a TC or team member, you can Manage Collaborator(s) and view Logs as well.

You can delete the message as well, but remember, this action cannot be undone. If you delete a sent message, it will delete the message from any other team member or portal user it was sent to.

Pinned

In this section, you will see any messages that you've pinned. If you no longer need a message to be pinned, you can click on the purple pin icon to remove it from the Pinned section. It will go to whatever section it is marked as, either New or Read, but you also have the option to Archive it.

Archived

Over time, you'll accumulate a lot of messages, so it's important to archive the ones you no longer need to see. All you have to do is click on the file folder icon on any received message for it to go to the Archived section. You can always unarchive a message by clicking on the purple file folder icon.

New Message

Depending on the level of access you have to the Messaging feature, you can send a new message from different spots in your Open To Close account or portal view. Here are some articles that go over each option depending on your role in the transaction.

Refresh

If you've moved messages around, whether that be marking them as read, pinning them, or archiving any, you can click on the Refresh symbol to give your Messages a refresh.
