Reporting Overview

Reporting gives you insight into the overall health of your transactions. Without reporting, you aren't able to make educated decisions on what needs to change to help elevate your business.

Open To Close has a Reporting feature that allows you to build reports off of property fields and the Agents and/or Users assigned to the transactions. Let's go over how to use this feature.

Creating a New Report

To create a new report, go to the Reporting section on your navigation menu. Click on +Create your first report to get started.

If you've already created a report before and need a refresher, click on the green Reports button to create a new one.

Name the report something that's easy to remember and references what the report is about. Click on Submit once you're ready.

On the left side of the Reporting page, there will be a few different options to start building out your report. For now, click on + Add New Widget.

There will be a list of property fields that you can choose from to add to your report. Find the one(s) you need and click on the name. Currently, you cannot choose any property field that is a date field.

Once you have the property field(s) selected, click on Close at the bottom of the list.

You will see a grayed-out screen with a Build Report button in the center. Click on this to populate the report based on what you chose as your property fields.

Pro Tip:

If you know you have a lot of widgets, Agents, and Users to add to the report, you don't have to click on Build Report right away. You can add everything you need before clicking on Build Report.

For this example, the image below shows all Pending properties throughout 2022. It also shows a box around some of the data points you can change based on how you want the data to be presented. Let's go over all three of these as well as the Year Reference option since all of them can be modified.

  • Year - Clicking on the Year dropdown gives you the options of 2020, 2021, and 2022.

  • Data - You can either show the Count or the Dollar Amount.

  • Chart - If you prefer seeing a Bar graph as opposed to a Line graph, you can change it under Chart.

  • Year Reference - This will show you the date field that the graph is based on. By default, it's Created, which is when the property was created in Open To Close. You can change this to any other date field.

If your data didn't update when you made changes, you can click on the Reload Data link at the bottom of the graph.

Adding Agents and Users to Your Reports

To add an Agent and/or User to your graphs, click on Manage next to the corresponding section on the left side of the page. This will give you a list of Agents or Users to choose from.

Select the ones you need and click on Close. You will have the option to build the report right away, or you can continue to add details for the report before clicking on Build Report.

Once you've added an Agent or User, you can change the color that relates to them. This is important so you don't have all of the same colors representing all of the Agents or Users on the graph.

You can also remove an Agent or User by clicking on the trash icon. You will need to click on Build Report to update what the report looks like without that Agent or User.
