Explanation

Location Contact Information

  • We have added Location Contact Information to the platform.

  • You can now add the following contact information to a Location.

    • Email Address

    • Phone Number

    • Website

  • If you add this contact information to a location. It will appear in several places in the app.

    • It will appear below the Location Drop Down on the My Checklists Page.

    • It will appear on the Location's More info page.

  • These fields are not required, they are optional.

  • This is a prerequisite for using Non-User Completed Shared Notifications.

Get Directions

  • Click the Get Directions button and the following menu will appear.

  • Select your preferred mapping program and you can very easily get driving directions to the location.

Call

  • If you add a phone number to the Location.

  • Click call from your phone and you will be prompted to call the number.

Send Email

  • If you add an email address to the Location.

    • This is more for sending non-users Shared Completed Reports.

    • You can send users completed notifications using the Completed Notifications that already exist in the platform.

  • Click Send Email and your phone's email program will open and start a new email to send to the Location's email address.

  • This location email has nothing to do with user accounts or user access it is just an email for Non-User Completed Shared Notifications. (see below)

Website

  • If you add a website to the Location.

  • You will be able to see that website on the Location's More Info button.

  • You will be able to open that website from there.

  • This could be useful if you wanted to see an individual Location's website to confirm hours of ops or menus, etc.

Non-User Completed Shared Notifications

  • We have added the functionality to automatically send Shared Completed Checklists to the Location Email Address.

  • This allows you to send non-users a shared version of a Completed Checklist when it is submitted automatically so an end user doesn't have to share it manually.

  • This allows you to give access to Completed Checklists to non-users without giving them access to the platform where they can see everything that is happening at a location.

  • To add Non-User Completed Shared Notifications

    • Just check the Location Checkbox in the Checklist's Notifications Section.

    • The notification only goes to the Location Email Address, this cannot be changed.

  • Adding Organization Email Credentials is a prerequisite to make this functionality work.

  • Having a location Email Address is a prerequisite to make this functionality work.

Organization Email Credentials

  • Go to the Organizations Page.

  • Inheritable: Check this if you want to allow suborgs to use your email credentials to send Non-User Completed Shared Notifications.

  • From Address: This is the address the Non-User Completed Shared Notification will be sent from.

    • Make sure your IT team researches how to create an SMTP passthrough email account thoroughly.

    • Ex: Gmail now requires an app password where as it used to only require a user account and password.

  • Host: SMTP Server Name

  • Port: SMTP Server Port

  • Enable SSL: Leave this blank by default, the system is automatically configured to use TSL/SSL security.

    • SSL was added for older email systems that only have SSL.

  • Username: this is the username of the account that you will be sending from.

  • Password: this is the password for the account.

  • Save: This save button saves only the email credentials it doesn't save the entire page.

  • Test: By clicking test, the system will send a test email to the logged in user's account to confirm that the credentials are working.

  • Delete: Delete clears out the settings.

    • You then need to click Save to confirm the clear settings.

Question Response Aggregates Report

  • We have added a new Question Response Aggregates Report to the Platform.

    • This only works with Number Questions.

    • It requires that you pick the questions and a date range.

    • You can have questions from multiple Checklists.

  • This report will calculate the following Aggregates for each question.

    • Min

    • Max

    • Average

    • Sum

    • Count

Response Set Response Filter

  • We have added a new Response Set Response Filter to the following Reports:

    • Question Response Report

    • Question Response Count

  • This filter allows you to get all the responses to a response set based on the answer to an individual question on that response set.

  • Ex: I want to see all the checklist's questions and answers to checklists where the question: Is your ice machine giving you trouble response is true.

  • Ex: I want to see all the checklist's questions and answers to checklists where the response for the date of incident was: 1/1/2025.

Updates to Current Functionality:

  • My Checklists Page Location will refresh more frequently.

    • The My Checklists page will now automatically refresh the current location of the device more frequently.

    • Click Home or the Logo and the platform will update the My Checklists Location immediately.

Bug Fixes:

  • Duration on Data Grid Views has been fixed to show less seconds digits.

  • Question Dashboards on a Checklist that has a Response Set Tag throwing an error on a page load has been fixed.

  • Fixed Daylight Saving issue that affected schedule start times has been fixed.

  • Must Change Password throwing a 404 error has been fixed.

  • Saving a rule doesn't change the Checklist Modified date, requiring you to update the checklist to see rule changes has been fixed.
