File Uploads and Downloads

We have added new functionality around the uploading and downloading of file attachments. You can now upload files any place in the platform that would allow you to upload photos: Responses, Response Comments, Tasks, Task Comments, Completed Reports, and Locations.

Attachment Questions

  • Attachment questions now have an additional option which is to configure the question to be a photo or a file attachment.

    • By selecting photo, you are stating that you want the answer to be a photo.

    • By selecting file, you are stating that you want the answer to be a file that is uploaded to the platform.

  • Restrictions on files sizes: 10mb per file and 100mb per checklist.

  • There are no restrictions on file types, just size restrictions.

  • New Attachment Rules are being added to your Organizations.

  • You can configure which type of attachment by selecting the option on the drop down list.

Answering Attachment Questions

  • You click on the File Button.

  • You select the attachment from your file structure.

  • If you try to attach a file that is too large you will see this warning.

  • You can attach up to 5 files per response and per comment.

    • Note we show the file name and size on the file icon so you can see what you have attached and gauge how much storage you are using toward your 100mb checklist maximum.

Comment Attachments

  • Just like attachment questions you can now upload files in comments.

  • This acts exactly the same as file attachment answers with all of the same parameters.

Location Attachments

  • If you have files that are specific to a location, and you want to make them available to end users you can upload them to the location and they will be available on our new Location Information Page.

    • You can upload files or HTML links to files or shared folders.

    • Linking to shared files and folders is the best practice because then you can manage and update them in one place.

    • You can only have 5 files or links per location. This is another reason to use shared folders.

  • To upload files to the

    locations page you will need to have the Locations Create and Update Roles.

  • Navigate to the location - open the location page - and click add.

  • Choose the file type, linking files is the best practice:

  • The Location Information Page is available on the My Checklists Page beneath the location picker and on Completed Reports.

  • When you click on the i icon, it will pop up this location information page.

    • Your team will be able to click on the files or links from the Location Information Page to access these resources.

    • Note that there are no permissions on these pages.

    • Any file that is uploaded will be available to any person with access to the location. DO NOT UPLOAD SENSITIVE MATERIALS TO THIS PAGE.

    • This is also an easy way to get more info on the locations such as tags, map, etc..

    • YOU DO NOT NEED ADMIN PRIVILEGES TO VIEW THIS PAGE.

Downloading Attached Documents to Checklists

  • You can download attached documents from the following places.

    • Completed Report

    • Question Dashboard for the file upload question.

  • Completed Report

    • You would use the completed report if you were looking for a specific checklist and file.

  • Navigate to the Completed Folder

  • Filter the Completed View to find the proper checklist.

  • Click on that row to open the Completed Report.

  • Scroll down to you see the file you want to download.

  • Click on the file and follow the instructions on the pop-up.

  • Dashboards

    • You would use the dashboards view if you wanted to download multiple documents from the same question.

  • Open Checklist Dashboard - scroll to checklists list - click on the appropriate checklist.

  • You are now in the Checklist Dashboard - Scroll to the bottom to the questions list - click on the appropriate question.

  • You are now on the Question Dashboard - Scroll down to the attachments list. Click on the file you want to view and follow the instructions on the pop-up.
