Role Permissions Explained

This article will take you the Administrator Role more in depth.

On the left-hand column, you will see the different functional categories of the platform defined. Each row: Organization, User, Role, Tag, etc. coincides with buttons on the left-hand navigation menu and the associated management functions in the platform.

The column headings over the checkboxes coincide with the permissions you will have in that section. The permissions are:

  • Read: a user can see that this exists and use these entities in the platform.

  • Create: a user can create a new entity in that category.

  • Update: a user can edit an existing entity in that category.

  • Delete: a user can delete this entity, if the entity is allowed to be deleted, in that category.

Examples of Role Permissions in use:

  • A user with Tags Read can see tags in the platform and reports.

  • A user with Question Response Set Create can complete a checklist.

  • A user with Question Set Delete can delete a question set and all of its response sets.

  • A user with User Update can edit an existing user.

  • A user with Organization Read will be able to switch organizations.

The administrator role is all-powerful and allows the user to manage any part of your OpsAnalitica Platform. Therefore it should only be given to users who have passed this training.

Let us compare the Administrator Role to the Inspector Role. The Inspector Role is the most basic permission that allows a user to go to the My Checklists landing page, conduct checklists, and view those completed checklists in the Completed Folder.

The first thing you will notice is that the Inspector Role has a lot fewer check boxes checked. It is much more limited in nature.

Lets explain each check box really quickly so you understand what the Inspector is able to do.

When you login into the platform you automatically go to the My Checklists page, it is the landing page of the platform. The My Checklists page has checklists, locations, you are a user, users locations, and checklists all use tags. There are a lot of things going on on the My Checklists page that you need permission to see.

  • Users Read: means that the user can see users including themselves.

  • Tags Read: this means the user can see and use tags that are already created in the system.

  • Locations Read: means the user can select a location and see locations that are in the locations drop down and on the completed reports.

  • Filters Read: means that the user can be apart of and use filters in reporting.

  • Message and Task Create: this means that a user can go to the inbox and create new tasks and messages on the platform.

  • Question Set Read: means that the user can see the question sets that have been created and assigned to their location.

  • Question Response Set Read and Create: this means that the user can complete question sets and view those completed question sets in the Completed folder.

99% of uses in the OpsAnalitica Platform have the Inspector and View Reports Roles.

The basic Roles are already defined in the platform and will cover most use cases. You are more than welcome to experiment with making your own roles and you can test how they work by logging in and out. If you are testing roles you should do it in a different browser with a fake test account.
