Filters Explained

This article will explain the different types of filters in the OpsAnalitica Platform and how they are used.

The OpsAnalitica Platform by its nature is very wide open. Meaning that every user could see every location and checklist. This is great for small organizations but for larger ones, this would mean people would be seeing things that didn't pertain to their jobs and responsibilities.

We created filters to filter down everything to just what a person or location is supposed to see.

We currently have two types of Filters:

  • User Filters: create groups of users.

  • Location Filters: create groups of locations.

Filter Attributes (these apply to user and location filters)

  • Filters are created off of tags on the related entities: users and locations.

  • Filter Logic:

    • Filters have Tagged With and Not Tagged With Attributes.

    • Filters have Or Else and And Also Operators.

    • These operators allow you to build complex filters to isolate very specific groups of Users and Locations.

  • Filters are the one place in the system where you cannot create a new Tag in the text box, the Tag you want to use must already exist to be used in a filter.

  • Results:

    • The list of results on the Filter are calculated after you create or update the Filter by clicking Create or Save.

    • The list of results shows you who or which Locations are in the results.

    • These results can take a few minutes to calculate so don't be alarmed if you don't see your change instantly after you change the logic or tag the entity.

    • If you don't see what you are expecting in a couple of minutes, then check the tags, they have to be exact matches.

User Filters:

  • User filters are used to create groups of users.

  • User filters can be applied to locations.

    • These Location User Filters use the same hierarchy tags that are on the location.

    • They are applied to the Location by selecting them from the Location's User Filter Drop Down.

    • They should have the same name as the location to make it easy to find them.

    • Location user filters generally only use the Tagged With and Or Else, operators.

  • User Filters for Notifications and Task Creation.

    • These User Filters can use more operators to isolate the group of people you want to notify.

    • These User Filters are applied on Checklists, in the Checklist Builder, and on Questions for Tasks.

    • The system compares the Users in the notification User Filters to the Locations User Filter to determine the individuals that will receive the notification. This ensures that we only notify the correct Users for that Location.

  • In the near future, User Filters will be applied and not be able to be removed in reporting so that the User is forced to only see their locations.

Location Filters:

  • Location Filters are used to create groups of Locations.

  • Location Filters can be applied to Checklists and individual Checklist Schedules.

    • This will limit the Checklist to only being seen at the locations in the filter.

    • You may create a Lo9cation Filter that has just your 24-hour-a-day locations in it, then apply that Location filter to your overnight schedule, ensuring that only overnight stores see that schedule.

  • Location Filters are used in Reports to limit down the report to a group of Locations.

    • The best practice is to create location filters for the above store leaders so that administrators that have the All Locations Tag can limit down reports to see a certain district.

We are constantly looking for new and better ways to use filters as they are such a powerful part of the OpsAnalitica Platform.
