To create a Task Template you first need to navigate to the Admin - Tasks Menu and select Templates.

Create a New Template

Entity

Explanation

Name

  • This is the name of the Template.

  • Make sure you use a naming convention and that the names are descriptive so you can select the correct template on the Checklist.

Description

  • This is what you are asking the end user to do.

  • Generic Vs. Specific Descriptions.

    • Generic

      • You will probably want to make some generic templates.

        • Ex: Double check on this issue in 1 hour.

        • Ex: Follow-up with the manager today.

      • These can be used with different questions and will make it easier for yourself.

    • Specific

      • On some questions, you may want to create an individual Task Template because it is so specific.

      • In those cases, you will create a specific description and template for an individual question.

Inheritable

  • This only applies in a multi-org structure.

  • This means that the task will be available for your sub-orgs to use in the checklists they create.

  • They will not be able to edit the template.

Tags

  • Tags are optional.

  • Tags can be used to categorize different Task Templates.

Priority

  • You can select a priority for your task.

  • Task priority is something that your organization will agree upon.

  • The Priorities in the system don’t have any programmatic significance.

  • None

  • Lowest

  • Low

  • Normal

  • High

  • Highest

Assignee

  • You can select a User Filter, the same filter comparison that happens on notifications will happen here.

    • This is the best selection if you want the task to only get created for Users that are in the Location’s User Filter.

    • When you use a User Filter, the system does a comparison of people in the User Filter Selected and of the Users in the Locations User Filter. It only assigns the task to users that are in both filters.

    • This is how you can ensure that you are only creating tasks for people that are associated to the location.

  • You can select a User, if you do this, the selected User will always get these tasks no matter which location they are created at.

  • You can select a person from outside of the company to receive this task. This person will get every task that is created similar to selecting an individual user.

Create a Location Task Worker User Filter

  • You need to create user filters to assign tasks to the correct people.

    • You should create user filters for the location and above-store levels.

    • You can create as many user filters as you need to get the tasks addressed properly.

    • See the assignee logic above.

  • You need to tag Users at the locations where you want to work location tasks, with the Location Task Worker Tag.

  • This will ensure that when these location-based tasks are created they are only going to the location users and not all of the All Locations Users associated with the location.

Due In

  • This is when you want the task completed by.

  • You can leave this blank if the task doesn’t have a due time.

  • Days: Number of Days from 0 to 30.

  • Hours: Number of Hours from 0 to 24.

  • If you are just doing hours you can leave the Days blank.

Required Comment

  • By checking this box you are requiring the person working on the task to provide you with a text comment before they can complete the task.

Require Photo

  • By checking this box you are requiring the person working on the task to provide you with an attachment or photo before they can complete the task.
