The dreaded Undeliverable Email Address Message, why and how has this happened?
We use one of the largest cloud service providers in the world to send our OpsAnalitica emails. They require us to have a very low bounce/undeliverable/spam rate on the emails that we send. Their ability to send emails for their millions of clients requires that every individual sender not be spamming off of their servers. Also, their deliverability of emails is also based on not sending out millions of spam emails. Needless to say, they are tyrants about the deliverability of emails.
Our email sender has mandated that if an email bounces or is undeliverable that we as a company have to blacklist the email and stop sending to it. If we don't do this, they will not allow us to use their servers to send emails to anyone anymore.
This is what happens that gets a person blacklisted, we send the email to the end user, and on the end user's side one of the following things happens:
Their email address is incorrect in OpsAnalitica.
This isn't as big of a deal, the email address is blacklisted not the account, you can correct the email address.
The End User marks us as spam.
Your email security software blocks the email from coming in.
Your email software says the email address doesn't exist or is undeliverable.
If any of those things happen, then our email-sending platform flags the email and blacklists it. Once it is blacklisted we cannot change its status because we risk getting in trouble with our email sender and we could lose our ability to send emails to anyone.
We understand that this is frustrating to a lot of people because the end user, minus the marking us as spam issue, has no control over what their company's email software does. A lot of times, security software just does what it does. It is a conundrum for sure as notifications are really important for managing the platform and your locations.
Here are a couple of tips for avoiding being marked undeliverable.

Train your teams that they can control their notifications and to come to an admin before they mark us as spam and work on configuring their notifications vs. blocking them all.
Set up push notifications on work devices. Push will always go through.
