How to Invite Employees into Opus

All you need to get started is each employee’s phone number. For Admins and Managers, an email login is also required. Phone numbers act as the unique ID for all users. Every location in Opus has its own signup link and QR code. Employees join by either:

  • Scanning the QR code with their phone, or

  • Clicking the signup link you send by text or email.

Admins and Managers can invite an employee to start training from the dashboard or from the mobile app. Trainees in Opus will only have access to the Opus Training mobile app. Let's dig in to each one.

💡 Have a team member looking to update their phone number? Simply edit this in their user profile. Scanning the QR code multiple times will create a new account and they won't be able to keep completion or progress.

How to Invite Trainees

You can invite team members either from the web dashboard or the Opus Training mobile app.

From the Dashboard (Desktop):

  1. Click the blue “+” button in the top left.

  2. Hover over Invite → select Trainee.

  3. Pick your location. You’ll see a QR code plus two options:

    • Print as Poster (to post in your store)

    • Copy as URL (share by text or email)

From the Mobile App:

  1. Tap Invite on the home screen.

  2. Select a location.

  3. Have employees scan the QR code on your screen, or send the signup link by text or email.

💡 Each location has a unique code and link. Make sure you are adding your team members to the right location.

Employee Signup

Signup takes less than 10 seconds. Employees provide:

  • Preferred language

  • Full name

  • Phone number

Then they’re sent to the App Store (iOS 13+) or Google Play to download the Opus Training app. Once downloaded, they log in with their phone number and can start training right away.

Verification Options

  • Text or WhatsApp: Most trainees get their verification code by text. If WhatsApp is installed, the code can also arrive there.

  • Phone call: Didn’t get the text? Choose “Get a call instead.”

  • Email (no phone number): On the signup page, tap “Don’t have a phone? Use an email instead”. Enter name, language, email, and password to log in with email credentials.

  • Manual code: If someone has already downloaded the Opus app, use the manual signup code (found under the QR code) to let them join.

Manual Signup Code

If a trainee has downloaded the Opus app ahead of being invited, you can use the manual sign-up code (located under the QR code) to allow them to proceed with signup.

Note on Privacy

Opus does not track GPS location, and we never sell user data. Employees don’t need to log in each time—just open the app at work and start training.
