How to get a statement of holding at a past date

A shareholder or member may request a statement of holding at a particular date (eg. for end of year financial accounting). A shareholder can generate their own current statement of holding, however, to generate a statement for shareholdings on a past date, you need to have access as a company administrator and be logged in.

In the left hand menu navigate to the 'Share register' option and select 'Shareholders'. Set up a filter:

  • Enter the shareholder's name into the 'Name or alias' box, or leave it blank to filter for all shareholders at a past date.

  • Enter the date you wish to get the statement of holding for in the 'View as on date' box, then click 'Filter results'.

To generate the statement of holding click on the 'Actions' icon (3 vertical dots) and select 'Statement of holding' from the dropdown menu. This will automatically generate a downloadable pdf file at the set date selected in the filter. This can then be emailed to the shareholder.

The statement of holding includes the name of the company, the class of shares held by the shareholder/member, and the number of shares held by them, so covers the requirements for a share certificate for investors.

The official legal record of investor shareholdings is the entry on the Share Register of the company. If there are any inconsistencies between the Statement of Holding and the company’s Share Register, then the register will prevail.
