Set Team Roster Limit for Participant Registration

With the new roster limit functionality, full admins and admins with necessary Participant Registration permissions can now set roster sizes for a whole season or by groups. They can also set maximum roster limits to prevent players from being added to teams that have already reached capacity. This ensures rosters stay accurate, comply with regulations, and maintain seamless team management. Follow the steps below to set roster size limits for your teams:

1. From Programs, locate your program and season > click on the Groupings & Settings > click on the Edit button at the season level or the Edit button at the grouping level.

2. Under the Season Eligibility subtab, a new configuration labeled “Set Team Roster Limits” is displayed, with the option to set it to ON/OFF.

  • If set to ON, a required text input labeled “Team Roster Limit” will display. Enter a number value to set a roster size limit. (length of 2 digits)

Note: If an admin attempts to update the roster limit and the number entered is below the number of rostered players already placed on a team, an error message displays “Roster limit cannot be set below the current number of players on a roster. Current max number of players on a team is X.”

Example: The season has a roster limit of 12. Team A has 11 players and Team B has 8 players. If an admin attempts to adjust the roster limit to 10, the error message will appear due to Team A.

3. To override the current roster limit at the grouping level, click the Edit button within the grouping to open the Grouping Eligibility view. Under the Set Team Roster Limits option, you will see the inherited roster limit set at a higher level. Click Override, enter a new value, and save to apply a different roster limit for the grouping.

4. As teams reach their roster limit, they will be listed as FULL when viewing the teams on the Structure tab and the Reg/Rosters tab.

5. Alternatively, during the public registration process, if seasonal registration is still enabled and a registrant tries to register directly onto a team that has reached its roster limit for the season, the team will be displayed as full on the team dropdown menu.
