Full Admins and Schedulers have access to a powerful drag-and-drop tool that makes rescheduling easier than ever.
In the Master Calendar view within Schedule, you can now move games and trainings into a temporary sandbox or drop them directly into any open time slot across your Locations and Surfaces. This gives you a fast, flexible, and intuitive way to adjust your calendar on the fly.
Follow the steps below to start using the drag-and-drop sandbox to quickly and confidently move games and trainings for teams within your organization.
1. From the navigation, select Schedule > Games & Trainings. Then, click the Edit button.
2. Once in Edit Mode, if you wish to reschedule a game or training to a new time on the same date at the same location, drag and drop the event into a new slot. Drag the event horizontally to adjust to a new time, or vertically to place it on another surface.
3. Admins will use the sandbox on the right side of the calendar to temporarily hold events while they are moved to new dates, times, or locations. Simply drag and drop any game or training you want to reschedule into the sandbox.
4. Once an event is in the sandbox, it can be moved to a new date, time, and location.
5. Scroll through the calendar or use the Find Date option to jump to the date where you want to reschedule the event. Once the date is selected, drag and drop the event from the sandbox onto a time slot.
6. If you wish to move the event to a location/surface that is not displayed on the date, select Add Locations. A list of your system-managed locations will display; from here, choose the location/surface where you’d like to schedule the event on then select Add.
7. The newly chosen location/surface will now appear on the calendar, and the event can be dropped into a new time slot.
8. After you’ve rescheduled your games or trainings, make sure to click Save. Changes made to any game or training won’t be applied unless you select the Save button. Selecting Cancel will discard all changes and return the Master Calendar, closing the sandbox.
Any games left in the sandbox upon clicking Save will be set as TBD for the date, time, and location, and game details will then need to be entered via the Game Schedules report.
If trainings are left in the sandbox, they will automatically return to their original date, time, and location.
9. Upon selecting Save, you will be prompted to choose to Send or Don’t Send Notifications and also to Keep or Clear Event RSVPs for events that have been rescheduled.
10. Games and trainings rescheduled via drag and drop in the sandbox will display as normal on all system calendars, reports, and views for team members.
System Behaviors and Helpful Notes for Drag-and-Drop Rescheduling:
If an event can not be dropped into a new slot, the event block will display in red.
If Surface Blocks are set up for a Location, they will appear as grey blocks, and you won’t be able to place events in those time slots.
