The Bill of Quantity Charge is a powerful tool in which you can assign a Coating System, Colour, Measurement, Labour and a Rate, the system will calculate all the necessary Products/Materials, Costings and everything else for you including your Gross Profit based on the Rate you've applied. Let's take a look at how to create a Bill of Quantity Charge.
The first lot of fields to fill in are the Details;
Division – Select the Division within your Company that best applies to this Charge. If you only have one just select that one.
Charge Category – Select from the list of different Charge Categories on which one best applies to this individual Charge.
Substrate – Select from the list of Substrates for which one best describes the Substrate that you're going to be working on.
Height Range – Select which Height Range best applies to the area that you're going to be working on.
Difficulty – Adding Difficulty to a BOQ will add extra Labour Hours to the BOQ. If there are obstructions or other reasons that may cause you to take longer to complete this specific BOQ, play around with the Difficulty until you get the amount of Hours you believe it will take to complete this BOQ.
Next are the Location details for the BOQ;
Environment – Select from the list on which type of Environment best applies to this Charge.
Sub-Location 1 – Create or assign this charge an existing Sub-Location 1. This Charge will then appear under that Sub-Location Header on the Charges Page.
Sub-Location 2 – This is the unique name for this Charge so that you can quickly and easily identify the Charge in the Charges Table.
Sub-Location 3 – Add any additional unique identifiers/details for this Charge.
Below that is the Paint Information, here you will search for a Product by using the Brand, Product Finish and Product to narrow down and Find a Matching Coating System. Once you've selected the appropriate Product simply click the "FIND A MATCHING COATING SYSTEM" button, if a pre-existing Coating System is already in your system it will appear below in the "Found Matching Coating Systems" Section. Click on the pre-existing Coating System that you wish to use for this BOQ and it will pre-fill the Coating System section for you.
You can also add a Colour to the BOQ. Here you can search via Brand or Colour Name and select a Colour that you wish to use for this particular BOQ.
Pro Tip
You can only select 1 (one) Colour per BOQ so if you have a multi-colour situation you will either need to make a note one the BOQ or create 2 Separate BOQ's.
If you selected a pre-existing Coating System you will see all of the details below, you can also make any adjustments necessary such as Brand/Product, Application Method, Spread Rate, Application Rate, Coating Percentage or Adding/Removing Coatings without affecting the pre-saved Coating System in the Library. Once you've reviewed it and made any necessary changes you can continue on.
If you do not have Coating System or are wanting to create a brand new one for this particular BOQ, simply search for the main Product you want to use in the Product Search section and select "FIND A MATCHING COATING SYSTEM" button. You will now see the below appear. Now search for the Products you wish to use and add each individual coat that you wish to use, set the Application Method, Spread Rate, Application Rate and Coating Percentage as necessary for each coat.
Pro Tip
If you create a new Coating System and it's not already apart of your Library, you can use the "Request To Save Coating System To Library" to send your Admin's a notification to review the Coating System and add it to your Companies Library.
The next section is the Area Dimension, this is where you will choose what kind of Unit Type you wish to use for this Bill of Quantity. There are 3 Types that you can choose from, let's take a look at each one;
M2 – This is your standard Area Type Measurement and will probably be the most common Unit Type that you use. This Unit Type is used for Walls, Ceilings and other general areas that use an Area Type Measurement.
Lineal Metre – When using this Unit Type you will also select from the list of Profiles ranging from 50mm up to 1000mm (in 50mm increments). This Unit Type is typically used for items such as Skirting, Architraves, etc.
Item – With this Unit Type you can select from a range of Profiles set by the PaintProjex team. These range from Doors, Door Frames, Car Park Symbols, etc.
The following section is Cost. Here you will select the Labour Type that best applies to this charge, then select if this Project is EBA or Non-EBA pricing and if it requires After Hours Rates.
Once you have selected all the relevant data, the System will now calculate the relevant Labour, Material and Waste Costs relating to this particular BOQ.
The final section to be able to create a BOQ is the Charge Out. Here you will select which State Rate best applies to your BOQ, or you can manually type in the Rate per M2 (if the Project requires a higher Rate or if you're giving your Client a discounted Rate). Otherwise you can type in the target GP % that you wish to achieve with this BOQ.
Below you can see the allocation of the BOQ's Costings based on the Rate you've entered. Here you can see how much is being dedicated to Labour, Materials and the overall Charge Out to your Client for this particular BOQ.
The final portion of the BOQ (but is not necessary to fill out) is the Comments section. Here you can add any Comments relating to this individual BOQ, this can range from specific application notes, special site specific notes, etc.
Pro Tip
The "Comment" section is the public comment section and will appear on all types of documents for anyone to see.
The "Internal Comment" section will only appear on specific documents (such as Office Files) and should be used only to communicate within your team.
