What is Zapier
Zapier allows you to connect your Paperless.io account with hundreds of apps, including Google Apps, PipeDrive CRM, Salesforce, Airtable, Typeform & Co.
Ways to use Zapier
You can create zaps to automate document signature workflows, create or send documents or save completed documents with or without audit trail to your own cloud files storage such as Google Drive or Sharepoint.
For zap ideas and apps, search Zapier’s Paperless Integration for a full list of apps that work with Paperless.io. Once you’ve found your app, check the list of actions for a good match.
When to use Zapier
If you use an app that’s important to your document automation workflow, but Paperless.io does not natively integrate with it, you can use Zapier to connect your app and Paperless.io.
How Zapier works
When a document gets completed by one or all parties, Zapier will trigger an action in your chosen app. At the moment, you can trigger an action when a submission is completed by all participants in your workflow.
How to connect your Zapier account
Before you begin...
You will need a Paperless Business Plan account
You will need a free Zapier account or higher
More advanced Zapier features require a paid Zapier account
Step 1: Complete a test document
In Paperless, go to your dashboard and select the document or template you’d like to test
Send the document to yourself (or anyone else), and complete the document to provide Zapier with document sample data
Step 2: Create a zap
Log in to your Zapier account
Follow Zapier’s instructions to Create a new Zap
c. At Choose account, select an existing Paperless account or connect to a new one and follow the instructions.
d. At Test trigger, select the data from the test document you completed in the previous step.
Note: The test document data is used to ensure your setup is correct. When using the Submission Completed trigger, Zapier will pull the most recent completed document data. To view a sample of the document data that Paperless.io sends over, view the Submission Payload
Trigger a zap for certain conditions
If you have a paid Zapier account, you can add steps to your zap. With multi-step zaps, you can add an action, like filters, to specify the zap for certain documents, templates or people. For more complex conditions, you can also use Paths.
Filters
When you add a filter, your zap will only run if certain conditions are met.
For example, you can filter your zap by:
Variables (called Tokens in the API), ie.
sales_amount
> 10000Form Fields
Template Ids (called
submittable_source_template_id
)Template Name (called
submittable_source_template_name
)Recipients (called Participants in the API)
Sender by ID (called
submittable_creator_id
)Sender by Name (called
submittable_creator_name
)
💡 Pro Tip: You have the option for Add
and Or
Conditions, ie. do you want all conditions to be true for the zap to continue or any condition to be true.
