Reading Your Dashboard

A walkthrough of every widget on the Property Manager dashboard — what each number means, where to click for more detail, and what to check daily.

Your dashboard is the home page of your ParkingPass account. Every time you log in, it gives you a quick read on what's happening at your property — what needs your attention today, which residents have applications pending, how patrol enforcement is going, and how your parking program is performing.

This article walks through every section of the dashboard top to bottom: what each widget means, where to click for more detail, and which items signal that action is required.


Property Header & Sidebar

The top-left of your dashboard shows your name, your role (i.e., Property Manager), and the active property you're managing.

If you manage multiple properties, use the property selector beneath your name to switch between them. The dashboard reloads with that property's data.

The left sidebar gives you quick access to every part of the platform:

  • Dashboard — The main page

  • Announcements — Platform updates and new feature releases

  • Search — Look up residents, vehicles, or permits

  • Help / Support — Submit tickets and access help resources

  • Assigned Parking — Manage reserved spots and the spot marketplace

  • Do-Not-Tow — The DNT list of protected vehicles

  • Patrol — Patrol activity, holds, and enforcement

  • Property — Property configuration and parking rules

  • Reports — All reporting, including Patrol Analytics, Expired Leases, and Future Move-Outs

  • Residents — Resident directory and invitations

  • Revenue Share — Revenue share program details and payouts

  • Users — Property management staff on this account

  • Vehicles — Vehicle/unit management

  • Settings — Account and notification preferences

  • Provide Feedback — Send feedback to the ParkingPass team


Top Search Bar

At the top of the dashboard is a quick-search field labeled Search for a report/tool. Type a keyword (such as Revenue, Guest, or Occupancy) and it jumps you straight to the matching page in the platform.

💡 Tip: This is the fastest way to find any report or tool without expanding the sidebar menus.


Quick Action Buttons

Below the search bar you'll see five color-coded quick-action buttons. These shortcut the things property managers do most often.

  • Search Plate — Look up a vehicle by its license plate

  • Parking Policy — Review your property's parking rules and policies

  • Property Settings — Open property configuration

  • Invite Residents — Send resident invitations (individually, by link/QR code, or by bulk upload)

  • Manage Staff — Add, edit, or remove property management users


Contact Support Banner

The green Contact Support — Get assistance banner just below the action buttons is a one-click way to reach the ParkingPass team. Use it whenever a question comes up that the knowledge base doesn't answer.


Announcements

The What's New announcements carousel highlights important updates from the ParkingPass team — new features, compliance changes, and state-specific updates that may affect your community.

  • Use the arrows on either side of the carousel to scroll through recent announcements

  • Click Read More on any announcement for the full update

  • Click All Updates to see the complete announcement history

💡 Tip: Check announcements regularly. Many describe new tools or compliance requirements that apply directly to your day-to-day workflow.


Action Required Widgets

The next row of four widgets surfaces items that need your attention. Any widget showing an Action Required badge in red should be reviewed before you move on.

New Resident Applications

The number of resident applications submitted but not yet approved or declined.

  • Click the widget to open the New Resident Applications queue.

  • Applications auto-decline after 10 days if not actioned, so don't let this number sit.

New Vehicle Applications

The number of vehicles residents have requested to add that are awaiting approval.

  • Click to review and approve or decline pending vehicle additions.

  • A non-zero count means a resident is waiting on you before they can park.

Vehicle Change Requests

The number of existing vehicles a resident has asked to change (replace, edit plate, update VIN, etc.).

  • Click to review and approve or decline.

Lease Status

Shows two numbers side by side:

  • Expired — Residents whose lease has already expired.

  • Expiring Soon — Residents whose lease expires within the next 90 days.

Expired leases prevent residents from renewing permits and may affect enforcement, so review this widget frequently. Click to open the Expired Leases report.


Property Statistics

The next row of widgets gives you a real-time snapshot of how your parking program is performing.

Vehicles Eligible To Park

The total number of vehicles currently authorized to park at your property.

The breakdown shows:

  • Residents — Active resident-registered vehicles

  • Guests — Active guest passes

  • Do-Not-Tows — Vehicles on the DNT list

  • Employees — Vehicles tied to employee accounts

Click Click for details to expand the breakdown or view the underlying lists.

Active Guest Passes

The total number of guest passes currently active across all residents.

A high number relative to your community size can indicate guest pass overuse — check your Guest Parking configuration if it looks off.

Last Patrol (Days Ago)

The number of days since your enforcement vendor last completed a patrol at your property.

  • 0 — Patrol activity occurred today

  • A higher number — Patrol coverage may be lapsing; review your patrol agreement and contact your vendor if needed

Taken Spots / Total Spots

If your property uses Assigned Parking, this widget shows how many of your spots are currently assigned, along with your overall Spot Utilization percentage.

  • A high utilization percentage means your parking inventory is nearly full.

  • A low utilization percentage means you have available spots.

Violations Past 7 Days

A rolling count of enforcement actions (warnings, citations, boots, tows) in the last week.

  • Click View Violations to open the violations report for the period.

  • A sharp jump in this number can indicate a new problem area worth investigating.

Resident Occupancy Rate

The percentage of your units that have at least one registered resident in ParkingPass.

  • A low rate suggests residents may not be registering. Consider sending bulk invitations or reviewing your resident onboarding workflow.

  • Click View Details for a unit-level breakdown.


Quick Search Panel

On the left side of the dashboard you'll find a Search Category dropdown and a results panel. This is a fast way to look up any resident, guest, or vehicle without leaving the dashboard.

Search by:

  • License Plate

  • First Name

  • Last Name

  • Email

  • Unit/Building Number

  • Phone Number

  • Parking Permit Number

Recent or matching results appear below the search field, including each user's name, address, and current account status (Pending, Active, or Declined). Click any result to open that user's profile.


Promotional Cards

At the bottom of the dashboard you'll find two cards that highlight features and ways to engage with the ParkingPass team:

  • Deep Dive Into Patrol Analytics — Opens the Patrol Analytics report, which lets you view heatmaps, common violation days and times, and patterns to help optimize patrol scheduling.

  • Share Your ParkingPass Success Story! — Tell the ParkingPass team how the platform has improved parking management at your property.


What to Check Daily

For most property managers, the dashboard works best as a five-minute check at the start of the day. Look at, in order:

  1. Announcements for any new updates that affect your workflow

  2. New Resident Applications — clear out the queue

  3. New Vehicle Applications and Vehicle Change Requests — residents waiting on you

  4. Lease Status — anything expired or expiring soon

  5. Last Patrol (Days Ago) — confirm enforcement is happening

  6. Violations Past 7 Days — spot any unusual jumps

If every widget shows zero counts and no Action Required badge, your property is in a healthy state.


Important Notes

  • Dashboard data updates in real time as applications, payments, and patrol activity occur.

  • Widgets that display an Action Required badge indicate items that may impact resident parking access if left unaddressed.

  • The dashboard always reflects the active property shown in the property selector. If you manage multiple properties, switch the selector to see another property's dashboard.

  • The exact set of widgets you see may vary slightly based on your property's configuration.


Troubleshooting

If a widget shows incorrect or unexpected data:

  • Refresh the page

  • Confirm the correct property is selected in the property selector

  • Sign out and back in to clear cached data

  • If the issue continues, contact support@parkingpass.com with the property name and the widget showing the issue
