When you create a collection, you will be prompted to select the collection's visibility. If you want to change this setting after creating the collection, follow these steps:
- Go to your Communities page, and click on the collection you want to edit.
- Along the right-hand side bar, look for the 'Privacy' --> [Edit] link.
(Hint: If you do not see an [Edit] link here, then you are likely not the owner of this collection. You may need to contact the collection owner to ask them to change this setting).
Choose the visibility type you prefer and click [Save].
We recommend the following best practices, for deciding which privacy setting to use:
If you're working on a collection that only you and your colleagues will view or edit, then we recommend using the 'Private' setting. You will need to click on the 'Collaborators' tab in your collection and click the [Manage Collaborators] button to invite colleagues to view or add to your collection).
If your collection is set to 'Hidden', it will not be searchable on participate.com, but anyone who has the link to the collection will be able to view it (only collaborators will be able to edit it). We recommend this for times where you'd like to post a link that guides people to view your collection, without necessarily sharing any other information.
If you're a Course Designer, we recommend using this setting if you're embedding a collection inside of a course.
Are you ready for your collection to be shareable, searchable, and easy to embed into courses. Then 'Public' is the setting for you! Only collaborators will be able to add or manage resources in your collection, but the whole world can discover and view your resources, if they are 'Public'!
Making Changes Later
You can return to your collection to change the visibility, at any time. You can also add tags, and continue to add or remove collaborators at any point in the future.
Only the Owner of a collection can edit the collection's visibility. For more information on the abilities of each role, check out this article.
