Using the Timeline + Tasks Feature to Execute Your Event

Learn how to use Partytrick’s timeline and tasks feature to plan, organize, and run your event smoothly.

Timeline & Tasks are your event’s step-by-step guide—making planning, execution, and follow-up a breeze.

When you set up an event using a template, Partytrick instantly pre-populates your timeline with recommended tasks tailored to your occasion. You’ll see sections for each phase: pre-event prep, day-of activities, and post-party wrap-ups.


Getting Started: Creating Your Event

To unlock a pre-filled timeline, start by creating an event from a template.

Templates come with recommended timelines and tasks designed around the event type — from birthday parties to bachelorette parties to casual nights in.

If you create an event from scratch, you’ll still have access to our timeline templates to jump-start your planning:

  1. Open your event and navigate to the Plan tab.

  2. Scroll down to the Execute section.

  3. Click Select Timeline Template.

  4. Choose the option that best fits your occasion (e.g., Birthday Party, Night In, Everyday Low-Lift Gathering).

  5. Click Use Template to apply it.

From there, your timeline will instantly populate with a list of recommended tasks organized by planning phase.


Managing Your Event Timeline

Once your timeline is set up, you’ll find it under the Execute section of your event. Here’s what you can do:

View and Track Tasks

  • Tasks are grouped by phase — Before Event Day, On Event Day, and After Event Day — to guide you step by step.

  • Each task card shows:

    • A short description of the task

    • When it’s due (e.g., 3 weeks before event day)

    • A checkbox to mark it complete

Edit or Delete Tasks

  • Click the menu icon (⋯) next to any task to edit details or delete it if it doesn’t apply to your event.

  • You can adjust due dates, rename tasks, or rewrite instructions to fit your exact needs.

Add New Tasks

  • Click the + Add Task button in the top right corner of the Execute section to create your own.

  • Give your task a name, description, and assign it to a phase and due date relative to your event day.


Understanding Task Timing Options

When you click + Add Task, the Create New Task dialog lets you define when your task should appear on the timeline. You’ll see a few optional fields that help Partytrick place your task in the right spot:

Task Name & Description

  • Task Name: A short label (e.g., Confirm catering order or Pick up balloons).

  • Description: Add helpful context or notes for yourself or collaborators.

Timing Value (Optional)

This tells Partytrick how far from your event day the task should be scheduled.

For example:

  • Enter 3 in Timing Value

  • Select weeks in Unit

  • Choose Before Event Day in Relation

Your task will automatically be placed 3 weeks before your event date.

Unit (Optional)

Choose the time unit that fits best — days, weeks, or months. This works with your Timing Value to calculate where the task lands on your timeline.

Relation

This tells Partytrick whether the task happens Before, On, or After your event day.

Use this to separate prep tasks from follow-up items like thank-you notes or post-event cleanup.

Example:

You want a reminder to buy flowers the day before your event.

  • Task Name: Buy flowers

  • Timing Value: 1

  • Unit: day

  • Relation: Before Event Day

Your task will appear in the “Before Event Day” section, scheduled for one day before your event.

You can always edit or delete a task after creating it. Nothing is permanent until your guests walk through the door!
