How to manage guests and send invitations for your events

People are the core of gathering, Partytrick is designed to make inviting your people feel effortless and organized. With Contacts, Guest Lists, and Invitations, you can build a reusable guest book, easily add guests to events, and send beautiful invitations with built-in RSVP tracking.

Think of these tools as working together:

  • Contacts are your master guest list, saved at the workspace level.

  • Guest Lists live inside an event and determine who’s invited.

  • Invitations are how guests receive details and RSVP.

This guide walks you through how to use all three.

How These Tools Work Together

Contacts, Guest Lists, and Invitations are designed to work as a system. Here's how they work together:

  • Contacts live at the workspace level. This is your master address book of everyone you might ever invite.

  • Guest Lists live at the event level. They define who is invited to this specific event.

  • Invitations are how guests receive event details and RSVP.

A simple way to think about it:

  • Contacts = everyone you know

  • Guest List = who’s coming to this event

  • Invitations = how you invite them and track responses

Getting Started

Once you’ve created an event, you’ll land on the Event Dashboard. From here:

  • The Guests tab is where you add and manage your event’s guest list.

  • The Invitations tab is where you customize your RSVP page and invitation email.

Your Contacts live at the workspace level and can be reused across any event.

Contacts: Your Master Guest List

Contacts are saved once and used forever. They’re not tied to a specific event, which means you don’t have to re-enter emails every time you host.

Adding a Contact

From your workspace:

  1. Open Contacts.

  2. Click Add Contact.

  3. Enter:

    • Name

    • Email address

    • Optional notes (dietary preferences, relationship, reminders, etc.)

  4. Click Create.

That contact is now available for all future events.

Organizing Contacts with Lists

You can group contacts into reusable lists, such as:

  • Friends

  • Family

  • Work colleagues

  • Bridesmaids

These lists make it easy to add multiple people to an event in just a few clicks.

Guest Lists: Managing Guests for an Event

Navigate to the Guests tab within your event to start building your guest list.

Adding Guests to an Event

Click the Add (+) button in the top-right corner. You’ll see a few ways to add guests:

Add by Email

Use this option to quickly add someone by typing in their email address. You can update their name and details later.

Add from Contacts

Select guests from your saved Contacts or entire Contact Lists (like Friends or Family). This is the fastest way to build a guest list if you host often.

You can browse your contact lists directly from the event and select who you’d like to include.


Editing Guest Details

Once a guest is added, you can:

  • Edit their name

  • Set plus-ones (e.g., +1 or +2)

  • See whether they’ve been invited yet

All changes are reflected immediately on the Guests page.


Guest Lists vs. Guest Tags

Partytrick gives you two ways to organize guests:

Guest Lists

  • Global and reusable

  • Live at the workspace level

  • Ideal for long-term organization (Family, Friends, Work)

Guest Tags

  • Event-specific

  • Great for one-off groupings

  • Examples: VIP, Speakers, Hosts

Tags help you quickly identify or filter special groups within a single event.


Tracking Guest Status

From the Guests page, you can filter guests by status:

  • Not invited

  • Invitation sent

  • RSVP: Yes

  • RSVP: No

This makes it easy to see who still needs an invite or follow-up.


Invitations: Sending Invites & Collecting RSVPs

The Invitations tab is split into two sections:

  • Landing Page – your RSVP page

  • Invitation Email – what guests receive in their inbox


Landing Page (RSVP Page)

The landing page is where guests view event details and RSVP.

Customizing the Landing Page

You can:

  • Upload a featured image that represents your event or theme

  • Preview the page before sending

Event name, location, and start/end times automatically pull from your event details, but you can edit them here if needed.

Adding a Description

Use the description field to share helpful details like:

  • Parking instructions

  • Dress code

  • What to bring

  • Special notes for guests


Invitation Email

The invitation email is the digital invitation card guests receive.

You can:

  • Upload a designed invitation card (from Canva, Etsy, etc.)

  • Reuse the same image as your landing page

  • Customize the subject line (defaults to “You’re invited: [Event Name]”)

  • Add additional event details

You don’t need a formal card—Partytrick works just as well with a simple image and event info.


Sending Invitations

When you’re ready to invite guests:

  1. Click Send from the Invitations tab.

  2. Select which guests to send invitations to.

  3. Preview both the invitation email and landing page.

  4. Click Send Invitations.

Once sent:

  • Guest status updates automatically

  • RSVPs are tracked in real time


Tracking RSVPs

After invitations go out:

  • Guest status updates to Invited

  • RSVPs automatically update to Yes or No

  • You can monitor responses from the Guests tab
