Patriot Software allows users to manage multiple businesses or clients under a single login, making it easier to oversee payroll and accounting tasks. However, each business or client account requires its own subscription. Below, we outline the key details and processes for managing multiple accounts efficiently.

What Is Multi-Company Access?

Multiple company access allows you to manage multiple businesses on the Patriot platform with a single login. If you’re already a user and receive an invite to access another account, you can use your existing username and password, giving you seamless access to all your companies through one login.

How to Create Access to Multiple Business Accounts with One Login

After you receive an invitation to have access to a new company, you’ll be taken to a page asking if you currently have an account.

New Users

  • If you are a first-time user to Patriot, click “No, I need to create a new login:”

  • Proceed with creating your username and password and MFA.

Users with an existing user login to Patriot

  • Sign up through the “Create Account” button on the website.

  • Add your personal information

  • Click “Start My Trial.”

  • Confirm your email address

  • You’ll be asked “Do you have an existing Patriot login?” Click, “Yes, I’ll use my existing login information.”

  • Enter your existing login information you will be using and your multi-factor authentication.

  • You will be logged in to your existing account and will be able to toggle between the two accounts from the “Company List” page.

Managing Multiple Company Accounts

You can switch between companies in two ways:

1. Use the company switch button located at the top of the navigation bar next to the account name and account number. Select the name of the account from the dropdown.

2. The Company List located at the side navigation of your software will show you the full list of your companies.

Your Company List with Multiple Company Access

The Company List page will show all accounts you currently or previously have access to. The company you are currently on will be highlighted.

  • By default, all accounts you have access to are shown. Toggle “Show Inactives” to view accounts you no longer have access to.

The Company List includes:

  • Company name and address

  • Patriot account number (PS ID)

  • EIN

  • Your user role for each company

  • Status of your access.

    • Active status = access granted,

    • Inactive status = access revoked

To switch companies click the company name or the “Dashboard” link of the company you would like to access, and you’ll be redirected to that company’s dashboard.

Subscription and Billing Requirements

Each business or FEIN (Federal Employer Identification Number) requires its own subscription. Billing is handled separately for each account, ensuring that each business maintains its own financial independence. This applies whether you are managing businesses with separate EINs, bank accounts, or charts of accounts.

FAQs about Multiple Company Access

Q: How do I add a new company under my account?

You can access multiple businesses using a single Patriot Software login. Each business must have its own subscription, as Patriot does not support multi-business payroll under one subscription. To add another business under your existing login:

  1. Log out of your current Patriot account.

  2. Go to the Patriot home page and sign up for a new account using the same email address.

  3. When prompted, select “Use an existing login” to link the new business to your current login credentials.

This setup allows you to manage all linked businesses from one login while maintaining separate subscriptions for each.

Q: Can I process payroll for two separate companies with their own tax filings using one login?

Yes. You can manage multiple companies under one login, but each company must have its own Patriot account for separate tax filings, including individual 941s.

Q: Can I use my existing login to create and manage multiple accounts?

Yes. When creating a new account, select the option to use an existing login and enter your current credentials. This allows you to manage multiple accounts under one login.

Q: Does Patriot support payroll for multiple businesses under one subscription?

No. Each business or FEIN requires its own subscription. By following these guidelines, you can efficiently manage multiple businesses or clients under one login in Patriot Software.

Exception: if you an accountant partner, all clients will be billed under your firm. Please see our help article for adding and managing clients for more information.
