Overview

Tour departures can be combined into groups to manage or display a certain selection. The advantage of tour departure groups is that the users can filter specific data and display on the UI based on their requirements. For more complex operation do departure groups also make organizing pickups and drop-offs smoother.

Use of departure groups throughout PaxFlow

Different departure groups can be displayed in the Passengers module, the Shifts & Availabilities table and the Book another tour.

Book another tour is accessed by pressing the "i" icon on the right hand corner.

For these modules is it also possible to define a default group in the General Settings. To select a different departure group choose the filtering symbol next to the search bar.

When a departure group is enabled (other than the default group) then the symbol becomes turquoise.

Dashboards displaying departure resources can be set up to display certain departure groups.

To enable Book another tour it is necessary to assign a default departure group.

Pickup and drop-off grouping

With a departure group can different departures be grouped together independently from their start time. Per default has each departure their own pickup and drop-off.

With the departure groups can pickups and drop-offs of different departures be merged making it possible to share the pickup or drop-off operations of these departures.

Vehicles can be scheduled for pickup and drop-off assistance on a departure level or a departure group level.

This feature is designed to meet the needs of organizations which offer tours with different service levels or tours which start from different locations.

Creating and editing departure groups

Select Add to create a new departure group or select any existing group to edit.

Each row in the list shows the name of the group and the number of departures in the group.

  • Add / Edit group: Title of the departure group

  • Description: Description of the group

  • Tab "Pickup": Combine departures for pickup operation. The departures belonging to the group are shown enabled (in blue).

  • Tab "Drop-off": Combine departures for drop-off operation. The departures belonging to the group are shown enabled (in turquoise).

  • Tab "Everything else": The list of all the existing departures. The departures belonging to the group are shown enabled (in green).

For logical reasons is it only possible to add a departure to one pickup or drop-off group.

Each departure displays the tour code, departure ID and the name of the product the departure belongs to.

Hovering over a departure in "Everything else" tab enables three dots with the further option to include or exclude all departures of a certain product.

In case departures are added regularly to certain products and they should automatically be added to the departure group can this option be enabled at the bottom of the page.

  • Select the tours below, for which new departures will be added automatically to this group: All the departures belonging to the selected tours will automatically be added to the given departure group as soon as they are created.

  • Allow users to filter throughout PaxFlow for this departure group: If this field is enabled, the given group is shown as a filter criterion throughout the application.

Make changes as required and click Save. Click the Delete button at the bottom to permanently delete the given departure group.

Managing departure groups through the departure settings

In the Tour Departure Settings it´s also possible to add or remove single departures from groups.

To add a departure to the pickup or drop-off tab of a departure group select the group from the drop-downs behind "Sharing pickup with" and "Sharing dropoff with". To manage the appearance in the "Everything else" tab of multiple departure groups select or deselect them in the "Groups" section of the page.
