Introducing Amenity Scheduling

We're excited to introduce one of our most-requested features: Amenity Scheduling is now available in PayHOA.

Pools, clubhouses, tennis courts, grill areas—whatever your community offers, you can now manage reservations, fees, agreements and availability all from one place. No more spreadsheets, sign-up sheets or back-and-forth emails. Your homeowners book online, and you stay in control.


What You Can Do

Create and customize amenities. Set up any amenity with a name, description, photo and availability schedule. Need help writing a description? Our built-in AI Assistant can generate one for you or polish what you've already written.

Set flexible booking rules. Control minimum and maximum booking durations, start time increments, daily reservation limits and buffer times between bookings. Your rules are always visible to homeowners when they go to book.

Charge fees—or don't. Amenities can be free or fee-based, with support for both hourly rates and fixed pricing. Fees are routed to the deposit account and revenue category of your choice, so your reports stay accurate.

Require agreements before booking. If homeowners need to accept a liability waiver or usage policy before reserving, you can attach text or upload a document. They won't be able to complete their booking until they've agreed.

Set cancellation fee rules. Configure a cancellation fee window and amount so homeowners understand the policy upfront. When a booking is canceled within the window, a cancellation fee invoice is automatically created on the homeowner's unit.

Require booking approval. If you'd like an administrator to review and approve bookings before they're confirmed, you can enable that per amenity. Homeowners are notified at every step—when their time is held and when a decision is made.

Manage grouped amenities. Have multiple tennis courts or grill stations? Create them as a group of identical spaces, and homeowners can see which specific space is available when they book.

Share booking pages with homeowners. Send an email with a direct link to an amenity's booking page. Emails can be customized with dynamic fields like the homeowner's name and a booking link, and can be scheduled to go out at a later date.


The Homeowner Experience

Homeowners access available amenities from their PayHOA portal, browse details and availability, and complete their booking in just a few steps. They can view, reschedule or cancel their bookings anytime from the My Bookings page—and they're always informed of any fees or agreements before they confirm.


Staying Organized

The Amenity Scheduling dashboard gives you a clear view of everything—pending approvals, upcoming bookings, total amenities and booking revenue for the year. Filter by status, pricing or approval requirements and click into any amenity for a full details page where you can edit settings, preview the booking experience, manage bookings, adjust availability for specific days or archive the amenity when it's no longer needed.
