There’s something new in your PayHOA account. Meet Gable, your community’s new AI assistant. It handles the routine work of running your association so you don’t have to.
It’s in beta, and it’s free for every customer while it is. There’s nothing to install and nothing to set up. It’s already in the platform you log in to, working from your association’s own documents and data.
See a video of how it works here. Video Overview: Meet Gable
What It Is
Gable is your community’s AI management assistant built into PayHOA. It reads your governing documents, sees your community’s data, and knows how your association runs, so there’s nothing new to learn.
Ask it a question and it answers, showing where the answer came from. Give it a task and it does the work, from drafting next year’s budget to putting together a board report. And when you log off, it keeps working, reading new requests and coding transactions so they’re waiting for you in the morning.
Ask it anything, give it a task, and let it work around the clock. However it’s working, nothing happens without your approval. The work is done and waiting. You approve it.
Where to Find It
Log in to PayHOA and look at the top of your dashboard for the AI Assistant icon. Click it and Gable opens right where you’re working, so you can ask a question or give it a task without leaving the page you’re on. The number on the icon shows how many items Gable has ready for your review and approval.
How It Works
Ask It Anything
Ask it anything about your association and it answers from your documents and your data.
Questions boards ask most:
What do our CC&Rs say about approved paint colors?
How do our finances compare to industry benchmarks?
Which units are delinquent on dues?
How much have we invoiced this year, and how much has been collected?
What’s our biggest expense this year?
Who owns 2538 Sycamore St?
Which request form has the most open requests, and how many are older than 30 days?
Which amenity gets booked the most?
Every answer shows where it came from. When it quotes your governing documents, it names the document and the section, so you can check the work yourself. When it gives you a number, it tells you the period it used. And if it can’t find an answer, or can’t fully read a document, it says so instead of guessing.
Give It a Task
Give it a task and it comes back finished, as a preview you can edit before anything happens. Three examples of what that looks like:
Draft next year’s budget. Ask Gable to draft a budget proposal from this year’s actuals. It comes back as a document you can review and adjust before it goes to the board.
Compare vendor quotes. Give it the quotes you’ve collected for the same job, and it lays them out side by side so the board can compare them in one view.
Put together a board report. Ask for a board executive summary covering the last six months. It comes back as a finished Word document and PDF in the same conversation. Then ask it to email the report to the board, and that’s lined up as a second job for you to approve.
Those are three examples. Gable can take on much more across your books, your records, and your communications, from issuing a credit or approving a payable to replying to a request or closing a ballot. It moves between them the way you would, so one request picks up where the last one left off, and it gets more capable every week.
Look it over, change what you want, then confirm.
Let It Work Around the Clock
Gable keeps working whether you’re logged in or not, so the work is already started when you sit down.
Requests are triaged the moment they arrive. A homeowner submits a request at 9 pm on a Tuesday. By morning it’s been read, checked against your governing documents, and it’s waiting for you with a drafted reply.
Bank transactions are coded overnight. A sweep runs every morning, codes what came in, and queues it for your review.
Homeowner questions get answered. More on that below.
It does the same for violations, amenity scheduling, vendor payables, and more.
Everything it does while you’re away lands in one place. Log in, and the number on the AI Assistant icon shows how many items are ready for your review and approval. Nothing has been sent or posted. It drafted, it queued, and it stopped there to wait for you.
Nothing Happens Without Your Approval
Every action arrives as a preview. You see the exact notice going to the exact list of units before anything sends. Edit whatever you want, then click Confirm. Only then does anything happen, and each batch is its own confirmation.
Gable puts the routine work on autopilot. The decision is always yours.
What Your Homeowners See
Homeowners get their own AI assistant, separate from Gable. It’s been answering questions on community websites built with PayHOA for a while, and now it can answer them in your homeowner portal too. It works mostly from PayHOA’s help articles and the community documents you choose.
During the launch period, it’s off by default. Turn it on anytime, choose where it appears and what it answers from, and see how much homeowners are using it. If a question needs a person, it comes to you in the Inbox.
Make It Yours
Three ways to make Gable work the way you and your board do.
Instructions. Tell it how you and your association work. How you refer to units, the tone you want in owner emails, a rule it should always check first. It follows them in every interaction.
Skills. Saved jobs that make the common tasks in your day-to-day more manageable. Use the ones we’ve built, or create your own. A skill is a saved set of steps Gable runs whenever you ask.
Workflows. Take a skill, or any job you describe, and run it on a schedule or trigger it when something happens. Set it up once and the recurring work gets done without you thinking about it.
Security and Privacy
Your data stays yours. Gable runs on enterprise AI models, and nothing you ask or it writes is used to train them.
It only ever sees your community. Each Gable instance is locked to a single association’s database. It can’t reach another association’s information, and no other association can reach yours.
Your conversations aren’t shared with other admins. Other administrators on your account don’t see what you ask. When it’s needed to improve Gable, our team can review a conversation.
What It Won’t Do
Knowing what Gable won’t do is part of trusting what it will.
It won’t act on its own. Every action waits for your confirmation, and each batch needs its own. Workflows run on the plan you confirmed when you set them up.
It won’t pretend to know. If it can’t find an answer, or can’t fully read a document, it tells you rather than filling in the blank.
It won’t hand over sensitive information. Account numbers and other protected details are off limits no matter who asks or how the question is worded.
It won’t give legal advice. Ask about state law and it finds reputable sources and cites them, then reminds you it isn’t a substitute for your attorney.
It won’t wander off topic. Gable is scoped to running your association. Ask it something unrelated and it will politely decline.
It will make mistakes. This is a beta and Gable is new. It shows its sources and stops for your approval so a wrong answer is easy to catch. When you catch one, the thumbs-down tells us.
And you can turn it off. If Gable isn’t right for your association, email support@payhoa.com and we’ll turn it off for your account.
Help Us Build It
Try the hard thing. Ask the question you assume it can’t answer. Give it the task you’d normally lose an afternoon to.
Tell us what’s missing. What could Gable be helping you with that it can’t already do? What you try during the beta shapes what we build next.
Use the thumbs-down. When an answer is wrong, thumbs it down. That routes straight to our team, and we get to work.
Help Videos
To help you get started, we’ve put together a walkthrough:
More videos are on the way, each covering different aspects and use cases of Gable.
This is one more way PayHOA is making community management powerfully simple.
