How to Create Violations

Notify owners of covenant violations.

Step 1: Select "Violations" on the left side of the screen.

Step 2: Click "New Violation" on the top right side.

Step 3: Click on the box next to the unit(s) you want to create a violation report.

Step 4: Add details to the violation report.

  1. Add any attachments or pictures by dragging and dropping files or clicking upload a file to choose from a document on your computer.

  2. Create a title for the violation in the Title box.

  3. Type a detailed message in the Message box.

  4. Give a resolution deadline by selecting a date from the calendar.

  5. Select a status for the violation, such as first notice, warning, etc., if you prefer.

  6. You can notify the owners, administrators, or others by clicking the circle next to Send Notifications button and selecting names from the list.

  7. When finished, click the blue "Issue Violation" button.


Important: Make sure "Send Notifications" is enabled

Before clicking "Issue Violation," ensure you have toggled on Send Notifications if you want the homeowner to receive an email about the violation. If this toggle is off, no email will be sent even though the violation is created in the system.

If you issued a violation and forgot to enable notifications, you can still send the email afterwards: go to Violations β†’ find the violation β†’ Actions β†’ Email.


How to check if a violation notification was received and opened

To see whether the violation email was delivered and opened by the homeowner:

  1. Go to the Units tab in the left navigation.

  2. Click on the unit the violation was issued for.

  3. Select the Communications tab.

  4. You will see a list of all emails sent to that unit, including violation notifications, with their delivery status (sent, delivered, opened, etc.).

  5. Click View on any email for a detailed, timestamped breakdown of delivery events.
