This article explains how the Lockbox process works with PayHOA.com.

What is Lockbox?

Lockbox is a feature that will help eliminate receiving and processing paper checks from owners to your HOA. When Lockbox is enabled, we assign a PO BOX for your community where all owner payments are mailed. The checks are then scanned and deposited electronically into your bank account. The deposits will show up in your ledger already categorized and broken down by payment. There is no fee to enroll in Lockbox. The only fee is a $2 charge per check processed. The $2 fee is billed along with your subscription fees, automatically.

Lockbox services are provided free of charge to our subscribers using Alliance Association Banking!

To Enroll in Lockbox, go to Settings --> Enroll in Lockbox.

Agree to the Terms & Conditions and select the deposit bank account for the payments:

Click Enroll. That's it -- you're done! We will automatically update your mailed invoices to include a payment scan line and update the return slip to the correct PO BOX.

To include the PO BOX in the homeowner email invoice use Settings -> Preferences -> enable ATTACH PDF TO EMAILED INVOICES -> Update Settings.

Lockbox Deposits:

The checks are written to the Transactions page -> Reviewed Transactions.

Click the + button to view the homeowner name, unit, amount and revenue category.

Lockbox Deposits are also on the Reports -> Deposit Detail Report -> select 'Lockbox Deposit' option.

Where are the payments located?

The homeowner checks are located on the Payments tab. Under Notes 'Lockbox Import' means the check was mailed via Lockbox.

Also, homeowner payments are listed on the Units -> click on the unit -> All Payments tab
