Learn how to set the pay period, pay period end date and payment date for pay runs in Payroller

Learn how to set the pay run period, pay run period dates, and payment dates in Payroller with our simple guide below.

Step 1: Select '+ New Pay Run'.

When you add a new pay run, the first thing it will ask you for is the Pay Run Period, the Pay Period Ending date, and the Payment Date.

​It is important that the dates on this page are correct as there is no way to fix these dates once you select ‘Let's Start!’.

Step 2: You can edit these areas by clicking each field and selecting from the drop-down options or calendar. For dates, you can also type them as shown.

Pay Run Period

There are four pay run periods: Weekly, Fortnightly, Monthly, and Quarterly.

The Pay Run Period is set in the Schedule Details under Organisation Settings. You can change it when creating a new pay run or update it in Schedule Details.

You can assign employees to specific Pay Run Periods, so they only appear when that period is selected for a new pay run.

Pay Period Ending Date

The Pay Period Ending date and Pay Run Period determine the start and end dates of a pay run. The start date is shown in green at the top.

The Payroll Start Date for the first pay run can be set in the Schedule Details.

Payment Date

The Payment Date determines when the pay run figures are calculated. It affects the reports, superannuation batches, and when you finalise STP.

When finalising STP, Payments Dates on or before June 30 will belong to the previous financial year, while Payment Dates July 1 or later will belong to the next financial year.

For example, a payment date of June 30, 2024, will place the pay run in the 2023-2024 financial year, while a payment date of July 1, 2024, will place the pay run in the 2024-2025 financial year.

When you edit the Payment Date, the system will save this frequency and automatically suggest the same payment date for future pay runs.

Troubleshooting

If you've submitted a pay run with incorrect dates, you'll need to correct them before proceeding.

If you have a pay run that has NOT been submitted to the ATO, you can delete the pay run and create a new one with the correct dates.

For pay runs that have already been submitted to the ATO, you will need to edit the pay run to a value of 0 to remove it from the ATO records. After that, create a new pay run with the correct dates and resubmit it.

Once you’ve entered the correct dates, click ‘Let’s Start’. This will take you to the Adjust page.
