Overview
Each row of the Guest Analysis Report corresponds to a single guest account. The columns contain demographic information and wallet balances.
Common uses for this report include:
Finding the current dollars spent balance of all cards or accounts. (or any other Wallet balance, e.g. visits, stored value, points, etc.)
Creating a list of all registered, and opted-in guests. (Who can I market to?)
Creating a list of cards/accounts/guests who were enrolled at a particular store, or group of stores. (Which stores have enrolled the most guests? The fewest?)
Creating a list of guests who live in a certain zip code (or group of zip codes). Note: This applies only to guests who have provided this information (via registration or migration of historical card data). (Can I get a list of guests in a particular geographic area?)
Creating a list of guests who have a birthday next month. (How many birthday reward emails will I be sending out?)
What should I know before I start?
The Guest Analysis Report relies on Account Filters. You can use an existing filter, or create a new one, but you should have an idea of how Account Filters work before you run the report.
The Guest Analysis Report is the main tool for queries to your guest/card database It's a powerful tool, but it is also very complex. Learning to maximize this report requires time and practice.
Please note the following limitations:
You'll need permission to run the Guest Analysis Report. If you do not see this report in Report Center > Run Reports, you do not currently have permission to run it. If you feel that you need access to this report, contact the Paytronix administrator at your organization.
You must have at least one condition set for the report to run. We strongly recommend filtering results by Program Template (Card Template) first, and adding more Conditions as necessary.
This report does not show historical information, or activity over time. The output shows a "snapshot" of the current status of each card’s balance(s), and demographic information.
How do I run a Guest Analysis report?
1. Navigate to Report Center then Run Report and select Guest Analysis.
2. Click on Detail.
3. To use an Existing Filter, select it from the pull-down menu. To create a new filter just for this report, click CREATE NEW FILTER:
4. Whether you’ve selected an existing Account Filter or Create New Filter, you’ll be brought to the Account Filter page where you can either create a new account filter or edit the existing one.
5. You can choose to save this account filter or continue without saving. If this is a filter you expect to use more than once, select Save & Continue. If it’s an ad hoc report, you may just want to Continue without Saving.
6. Now that your account filter is all set, you’ll be be brought back to the Guest Analysis Report to select your parameters.
7. After selecting, or creating an Account Filter, you'll have the opportunity to select which data you'll see on the report's final output. Let's start with Guest Demographic Information:
8. You'll notice that some data fields are already in the Selected column. This is data that is most commonly selected for output. If you don't need one of these data fields on your report, you can remove it by clicking the left arrow (<). To clear the whole column, click the double left arrow (<<). To add data fields to your report, click on the data field in the Available column, and click the right arrow (>).
Note: All possible data fields are included in the Available column whether or not you collect this data from guests in your program. If you select a data field from the Available column, but do not collect this data from your guests, this column will be empty in the report's output.
If you don't need to add Wallets (info about guest account balances), click RUN DEMOGRAPHIC REPORT button, to tun the report.
9. After selecting Guest Demographic Information, you may want to to add current account balances (points, rewards, dollars spent, visits, etc.). Click ADD WALLETS TO OUTPUT:
10. As you did with Guest Demographic Information, move data fields from Available to Selected to see them in the report's final output. In the example above, you'll see dollars spent, visits, and points on the report in addition to demographic info.
11. Select your Output Type.
TIP: CSV files generally download more quickly than XLS or XLSX files, however, CSV files often truncate guest card numbers. This is a good option if complete guest card numbers are not necessary to your report. If you'll need complete guest card numbers, make sure to download the report as an XLS or XLSX file.
12. Click RUN REPORT. Depending on how much data you are pulling, the report may be fetching data for up 20 minutes. You can close the window, and the report will continue to run. To view your results at a later time, navigate to Report History from Report Center:
If the report shows as Active, the report is still running. It's not ready yet.
If the report shows as Succeeded, the report is ready to view, click on the report title to view results.
If the report shows as Failed, the report did not finish. This is rare; if you see it, contact Paytronix Support at support@paytronix.com.
13. After the Guest Analysis Report is complete, you'll see a summary of all the data fields you selected (and their parameters). At the bottom of the page, you'll see a link to download:
