Issue a document-based credit note

The process of issuing a credit note is to provide a debt reduction document to customers who have purchased goods or services from a business.

Note : The reference document can be either an invoice or a receipt.

There are 3 steps to issue a credit note are as follows:

  • Step 1: Go to the document that you want to use to be the reference.

  • Step 2: Specify the details of the reduce the debt.

  • Step 3: There are 2 different types of system account entry.

    • Type 1: Debt reduction from invoices that have not been paid yet, the system will record debt clearance.

    • Type 2: Debt reduction from documents that have already received payment, the system will provide options for selecting the payment method used to receive the payment.

Example: A business issues an invoice for the sale of 20 units of goods at a unit price of 1,500 baht each. Later, there are damaged goods that want to be deducted from the debt, along with a return of 5 units of goods from the customer at a unit price of 1,500 baht.

Step 1: Go to the "Invoice" menu > See All.

Select the invoice you want to reduce the debt.

Click on the "Options" button and select "Credit Note".

Step 2: Enter the document details.

  • Reference: The system will retrieve from the invoice number.

  • Document Number: PEAK will automatically generate the document number based on the configured format. You can modify the document number to the desired value if needed.

  • Classification Group: (For only Package PRO Plus)

    You can specify the category during document creation or or leave it unspecified.

    And then you can specify it retrospectively.

  • Pricing and tax setting

    • Issuing a credit note from the original document that must only be a credit note/tax invoice. For example, a credit note from an invoice/tax invoice. The system will issue a tax invoice as a credit note/tax invoice. It will not be able to edit to be the normal invoice.

    • Issuing a credit note from original documents, not invoices/tax invoices or receipts/tax invoices. The system will allow you to choose whether to issue a tax invoice or not. If you choose to not, the document will come out only as a normal credit note.

  • Specify Credit Note Infomation

    • Reason for issuing credit note : Specify the reason for the debt reduction.

    • Description of reason : The system will automatically generate a brief description based on the selected reason for the debt reduction. You can edit the description as required.

    • Reduce all debts? : There will be 2 options available for you to choose from for the transaction.

      • Option 1: "All debts", which means reducing debt for the entire document.

      • Option 2: "Partially", is means specifying the items that need to be

    • Did you receive more products : There will be 2 options available for you to choose from for the transaction.

      • Option 1: "Receive More Products", the stock quantity will increase.

      • Option 2: "Do Not Receive Product , the stock quantity will remain the same.

Step 3: Check the checkbox and enter the stock quantity returned. From the example, enter a quantity of 5 units at a unit price of 1,500.00 baht per unit.

From the example "Reducing debt from an unpaid invoice," the system will automatically check the debt reduction and record it as a deduction from the original invoice. If you have verified that the transaction is correct, you can click "Approve credit note" to finish the process.

Example accounting record.

The stock quantity of the inventory will be automatically increased when there is a product return.
