Issuing a credit note is the issuance of a document to reduce debt to partners who come to buy products or services with the business, in which the PEAK program can issue a credit note without document reference.
This is for the case that the business may not have a reference revenue document or case that sales accounting entries or beginning balances were recorded on the general journal in the past.
Example: There has never been an issuance of invoices and receipts in the system, or there have been multiple invoices and receipts issued. Then, there was a return of 10 units of goods from the customer at a unit price of 400 baht, but you don't know which specific document the goods were returned from, whether it is from an invoice or a receipt.
Step 1:
Go to the "Revenue" menu >> select "Credit Note" >> click on "Create".
Select Credit Note Format: No Reference Documents.
Step 2: Enter the details to create a credit note.
Refer to : Enter the desired information (if any). Limit the text to 32 characters.
Document No. : The system will automatically generate the document number using the configured setting. You can edit the document number to the required number.
Customer.
Customer : Select the customer.
Issue Date : PEAK will default to the current date when creating the document. You can edit and choose a past or future date.
Pricing and tax setting
Pricing Type : The system will default the price category based on the configuration settings. You can edit it again when creating the document.
Issue Tax Invoice : The system will automatically display the credit note/tax invoice creation page. If you do not want to issue a tax invoice, you can choose to disable tax invoice issuance.
Currency : Specify the foreign currency you want. By default, the system will be set to the Thai Baht currency.
Credit Note Info : Specify the reason for the debt reduction.
Whether the credit note affects the quantity of goods depends on the product return function.
Receive more products : The stock quantity will increase
Do not receive Products : The stock quantity will not be changed.
Item
Product/Service : Specify the product/service code (if any)
Account : In case you select a product/service code, the system will automatically fetch the account code associated with that product/service code that you can manually specify the account code if needed.
Description : In case you select a product/service code, the system will automatically retrieve the associated description linked to the product/service that you can manually specify the description you desire. (Supports up to 1,000 characters).
Quantity : Specify the quantity of the received goods/services.
Price/unit : Enter the price per unit.
VAT : Specify the value-added tax (VAT) rate as 7%, 0%, or no VAT
Withholding (WHT) : Specify the withholding tax, (if any).
If there are more than 1 item in the invoice, please press the "+" button to add a new item.
And want to add a description for the item, please press the "+" button to add a description for the item.
If there are multiple items on the invoice, click the "+ Add New Item" button.
If you want to add a description for each item, click the "+ Add New Note" button
Specify the total amount of referred tax invoice, where the amount must be greater than or equal to the reduced debt amount, and then click "Save."
Debt reduction can be issued in 2 cases.
Case 1: Debt reduction from an invoice that has not been paid. The system will automatically select the debt as reduced.
Case 2: Debt reduction from an invoice or a receipt with payment already received. The system will automatically select the refund payment.
For this example, it is a debt reduction from an invoice with payment already received, the system will automatically provide the option for a refund.
Step 3 : Payment method
Refund payment to the customer
Specify the refund payment date. >> Select the payment method. >> Approve the credit note.
