When the business has recorded documents and closed the books at a certain time and wishes to lock the documents to prevent any further modifications, only users with the highest system administrator privileges are allowed to lock the documents.
Procedure for locking the usage data of documents
You can lock it by following these steps :
Step 1 : Go to the 'Settings' menu > 'Accounting Policy Setting' > 'Lock Data'.
Step 2 : Click on the 'Edit' button.
Step 3 : Click on the 'Lock Old Entries' button to lock the usage data.
Step 4 : Click on the calendar icon.
Select the desired end date for locking the data, starting from the date of business creation. Then, click on the 'Save' button."
The system will display the time period during which the data is locked.
Procedure for unlocking the usage data of documents
When a document is locked to prevent modifications, but upon reviewing the entries, there is a need to make changes, only users with the highest system admin privileges can unlock the documents.
You can follow these steps to unlock the documents :
Step 1 : Go to the 'Settings' menu > 'Accounting Policy Setting' > 'Lock Data'.
Step 2 : Click on the 'Edit' button.
Step 3 : Click on the 'Lock Old Entries' button to unlock the usage data.
Then, click on the 'Save' button.
