Ingredients

How to setup ingredients and link them to products and modifiers

There are two main reasons for using ingredients:

  1. You want to track everything as an ingredient and not have to switch between product and ingredient inventory.

  2. You have ‘ingredients’ that make up your product but are also in other products. I.e for a G&T cocktail, you need to monitor gin and tonic levels separately, and you also use these in other products/as modifiers.

To start with, you need to enable the Ingredients module. Do this in the back office > Setup > F&B Setting> Enable Ingredients. If you don't see this option then you may have restricted access to the system, so to enable this module please contact Pebble Support.

Now you will be able to see an Ingredients section along the menu on the left-hand side (you may need to refresh your browser page):

Make sure that your products have “Use Ingredient Stock” enabled:

Now we need to create our ingredients first before linking them to our products.

Select Ingredients > Ingredients > + Add New Ingredient.

Once you’ve created your ingredients, there are two ways to link them to your products:

1) Link your products to your ingredient

2) Link your ingredients to your product

Please use whichever method is easiest for you.


1) Link your products to your ingredient

From the Ingredients page, select “View products” on the chosen ingredient:

If your products have “Use ingredient Stock” ticked, then they will show in the list:

So click on the product from the list, and it will add itself:

We now need to quantify it, so that the system knows when you sell the G&T - Small variant how much to take out of stock of the bottle of Gin. To do this, we need to know A)How much is in the bottle and B)How much is in the G&T that we’re selling.

If there’s 750ml in the bottle, and only 10ml in the cocktail, then 10/750 = 0.013. It’s best to set it to 3 decimal places.

Now we can enter this by clicking on the blue number:

Select the tick to confirm, and then select ‘Save’ once you’ve finished linking all products to this ingredient.

2) Link your ingredients to your product

To do this, go in to edit your product/variant (if using a variant).

Scroll down to the Product Inventory section:

Select “Use Ingredient Stock”, then select the dropdown box for “Add Ingredient” and select the relevant ingredient (you can start typing and it will also appear).

Now in the “Amount” box, you’ll need to quantify it, so that the system knows when you sell the G&T - Small variant how much to take out of stock of the bottle of Gin.

To do this, we need to know:

A) How much is in the bottle

B) How much is in the G&T that we’re selling.

If there’s 750ml in the bottle, and only 10ml in the cocktail, then 10/750 = 0.013. It’s best to set it to 3 decimal places.

You can then add more ingredients if needed, but please note that the amount box always needs to be filled in.

Using Modifiers

You can also link ingredients to your modifiers. This works in much the same way as linking ingredients to products.

In the back office, navigate to the Modifiers section:

Select the edit (pen icon) at the end of the row of the modifier we want to link to an ingredient, and then you will be able to see the ingredient section:

Select “Search Ingredient” which will give you a dropdown of all ingredients, or you can start typing to be able to find your ingredient. You can also filter the results by using the Filter by Tag or Filter by Category options.

Now in the “Amount” box, you’ll need to quantify it, so that the system knows when you sell this modifier how much to take out of stock.

To do this, we need to know:

A) How much is in the bottle and B)How much is in the modifier that we’re selling.

If we take a carton of milk as an example here, if there’s 100ml in the bottle, and only 10ml of milk in the modifier, then 10/100 = 0.1. It’s best to set it to 3 decimal places.

You can then add more ingredients if needed, but please note that the amount box always needs to be filled in.

If you need to re-edit, just select the pen icon again:

And you can easily delete the ingredient using the “x”:

Or you can add any further ingredients.

Don’t forget to link your modifiers to modifier sets and link the modifier sets to your products.

FAQs

  1. Why doesn’t one of my items show in my inventory?

    1. Please check that you have ‘track inventory’ enabled for that particular product.

  2. Why can’t I edit my stock level in the back office?

    1. If the box is greyed out, then this will mean you have the Advanced Stock Module enabled, and you will only be able to change the stock level through the dedicated stock app
