You can set up multi-authorisation workflows in PeopleHR, designating users and approvers for transactions on your site, including holiday, other events and timesheets. This is flexible allowing you to define multiple approvers or approval workflows as needed. For example, if the main approver is on holiday and you need someone to approve requests on their behalf.
To do this, watch the video or follow the steps in each of the sections below.
πImportant: To do this, you need to be an admin and have an authorisation workflow licence. This also only applies to new requests made after you've set this up.
Create an approval rule
First, you need to create the approval rule.
Click Access Button
then click HR Admin.
Click Settings then click Authorisations.
Click the + icon.
Select the In Use checkbox.
Enter a name for the rule.
Select the applicable transaction using the Transaction drop-down menu.
Ensure you populate additional fields created by the option selected.
Select whom the rule is triggered by using the Submitted By drop-down menu.
Under Approvers, add or remove the relevant users who will approve the transaction.
Use the drop-down menu to define how the approval process works, then click Save.
Anyone can approve | Any approver added can approve the transaction. |
All must approve. | All approvers added must approve the transaction before it goes ahead. |
Approve in order specified. | Every approver must approve the transaction sequentially in the order you specify. |
Assign the rule to employees
Once you've created the rule, you need to assign it to the relevant employees.
Click the eye icon then apply any of the following filters:
Companies
Locations
Departments
Job role
Employment type
πNote: If no filters are applied, the rule automatically applies to all employees.
Include or exclude the relevant employees.
Click Test Rule then check the list of employees is correct.
Click Save.
Check existing authorisation rules
Once you've assigned the rule to the relevant employees, you need to check any existing authorisation rules.
Click Access Button
then click HR Admin.
Click Settings then click Authorisations.
From the Transactions drop-down menu, select the relevant option:
Holiday requests.
Other event requests per individual reason.
Timesheet requests.
Assignment requests.
Logbook requests.
Expense requests.
Click the role then select In Use.
Click Save then select the relevant option:
Check conflicts: Check if any employees are already linked to one or more authorisation rule.
No rules assigned: Check if any employees aren't linked to an authorisation rule.
2nd line approval: Allow the manager of the employee's manager to review and authorise requests on the approver's behalf. If you turn this on, it applies to all rules.
