With the PeopleHR Offline Backup tool, your IT team can back up your PeopleHR data on a regular basis providing you with an offline backup mechanism through a bulk download. You can extract a number of queries, and employee documents, into one location on your computer.
To bulk download data, you can use the Offline Backup plugin or the external Offline Backup tool compatible with Windows.
Set up the external Offline Backup tool
To set up the PeopleHR Offline Backup tool, follow the below steps:
Create a series of queries that include relevant data for your extraction.
Note: If you want to exclude leavers, you will have to leave the option unticked. However, the documents and the rest of the information will still be picked up and you will need to delete them locally after doing the backup.
Create an API key that includes all query, employee, and document endpoints.
Download the PeopleHR Offline Backup Tool.
In the Offline Backup tool, paste your API key.
Next to the Output location field, click the three dots icon and select the relevant location.
To export all employees' documents to their unique folder in the output location, select Export documents.
Enter the relevant queries, then click Run.
The deploy folder also contains the silent runner PeopleHRExportSilent.exe, which loads the settings file for the API and the queries to run and export the data. Use the program with the path of the export. For example, |PeopleHRExportSilent.exe c:\temp writes the files into c:\temp.
πNote: Once your export is complete, you're responsible for the security and encryption of this data. If you're unsure of this, before using this tool, speak with a member of your IT team.
If the photographs are corrupted when exporting, try running the tool again to export just employees' photos. If this still has not worked, raise a new case with our support team.
