As a PeopleHR admin, you can use the Timesheet Report to produce timesheets in a detailed or summarised format. It also feeds time to various payrolls.
For you Timesheet Report plugin, use the fields below:
Your Basic Hours.
Your clock-in and clock-out data.
Overtime.
Missed clocks.
Double clocking.
Holidays.
Sick.
Other Events.
Late.
Maternity/Paternity.
Working pattern.
To create a timesheet report in plugins, follow the steps below:
Build the specific timesheet report queries.
Create an API key including the Employee, Timesheets and Query endpoints.
In Access Evo, click Access Button
then click HR Admin.
Click Plugins then click New Requests.
Click Timesheet Report then enter the data in the table below.
Review the form then click Submit.
If required, to download any attachments, click Download.
To repeat the same request, click Repeat.
If your request fails, to check the details, click the Log
icon.
Field name | Details |
Enter API Key | Paste your API key. |
Payroll Start Date | This is the date when you want to extract the data. |
Payroll End Date | This is the date when you want to stop extracting the data. |
Use local shifts file | Select this if you want to upload a custom data file or select work patterns only. |
Use PHR shifts | Extract all system work patterns and shifts. |
Shift patterns file | If you select Use Local Shifts File, upload this file here. |
Bank holidays file | If an employee's entitlement doesn't include public holidays, upload a .txt file of bank holiday information here. |
Feed | Select the system you want to feed the data to. |
Convert hours to decimal | Convert the value of hours into a decimal. For example, 10:30 shows a value of 10.5. |
Summary Timesheet | Get daily basic, overtime and Sunday premium hours. |
Detailed Timesheet | Get summaries such as daily clock-in or out records, holidays, sick or other events. |
Detailed Upload Timesheet | Avoid this option when testing. |
Shift Activity Timesheet | Get an audit on employees who have clocked out and back in again within a given time period. |
Detailed Upload Timesheet Reference | Use only if Detailed Upload Timesheet is selected above. |
Detailed Upload For Employee Id | If you don't want to send the report to anyone, use this option when you select Detailed Upload Timesheet. |
Bank holiday hours | This is the maximum number of paid hours to award for a bank holiday. |
Clock In grace period (minutes) | This is the amount of allowed minutes for a clock-in, with respect to the shift start time. |
Clock Out grace period (minutes) | This is the allowed amount of minutes for a clock-out, with respect to the shift end time. |
Shift day rounding (minutes) | Rounded minutes are applied for a shift working day. |
Late arrival grace period (minutes) | If a clock-in is after the shift day's start time for more than the allowed minutes, a Late Arrival comment is added to the Detailed timesheet's Reason section in the Detailed timesheet only. |
Break time period | If the break time is not specified on the employee's work pattern, and under the rules tab, you have set for break times to be deducted, this is taken as the default number of minutes deducted. |
Shift activity - hours between shifts | Based on the Shift Activity Timesheet. |
Daily Hours Rounding | As opposed to rounding the specific clock-in and clock-out time to the nearest minute specified under the shift-day rounded, you can round the overall working hours that day. |
Max hours per Day | Limits the maximum number of hours that can be awarded per day. |
Skip Break Deduction If Worked less Than | No break time is to be deducted for employees working less than half of their hours or below X hours in the shift. |
Night shift allowance - shift starts after | Specify what time a night shift starts. |
Early clock in round to Clock In time | When you enable this, early clock-ins are set to the shift day's start time. |
Reduce break time | When you enable this, the break time is deducted from worked hours as a default of 30 minutes. |
Reduce break time for Part Day holiday | Indicates if break time is deducted in days having a Part Day Holiday. |
Reduce break time if less than half time worked | Indicates if break time is deducted when hours worked during the entire day are less than half the expected hours. |
If clocked in/out during public holiday put retain holidays hours and place worked hours into overtime | When you enable this and the employees work during a Public Holiday, the holiday hours are paid at a normal rate, and the worked hours are paid at an overtime rate. |
Include employees without Time Attendance Id | When you enable this, employees without a Time & Attendance ID are included in this report. If disabled, their information is ignored. |
Balance Basic using Overtime hours | If enabled, timesheets are updated to balance overtime hours to basic hours when basic hours are less than expected shift hours on a weekly basis. |
Cap holiday hours to shift hours | The booked holiday hours are capped to the shift day hours. |
Include hours before/after shift or Rest Day as Overtime | When you enable this, any clock in time before or after the work pattern start or end time is taken into account when recording overtime hours via the overtime logbook screen. |
Use shift day hours for bank holiday | If an employee clocks in on a bank holiday, the hours on their work pattern will be used rather than the default number of hours under the Time Settings tab. |
Add non-deducted break time to Overtime | An hour recorded under the lunch breaks logbook screen will be added to an employee's overtime hours. |
Round to shift expected hours | When you enable this, even if an employee doesn't meet the expected hours on their work pattern, their hours are rounded up to their daily total hours. |
Adjust break time with manual clock out | When you enable this, it takes into account if an employee clocks in and out for their break time and adjusts accordingly with the default break time that is deducted. |
Rest day rounding | If an employee works on a standard non-working day, specify a different rounding rule for these days. |
Automatically deduct XX mins for breaks for working non-shift days (This time can be added back in by the employee declaring breaks as working time) | Minutes are to be deducted as lunch breaks whilst working on a non-shift day. Working 10 hours on a Saturday set as a non-working day allows 9:30 hours only to be paid using the default minutes break setting. |
Rest day break deduction | The break time is deducted from the worked hours on a rest day. |
Rest day use shift start time | When you enable this, the system uses the common shift start time while processing a rest or non-shift day. |
Paid events (comma delimited) | List the other event reasons that you'd like to award hours back for, using commas to separate each reason. |
Rest Day Paid Events (comma delimited) | List the other event reasons that you'd be awarded back in hours if this is normally a non-working day. |
Salary type | Specify which salary type is included in this report, using commas to separate the departments. State this as shown in the Query builder. |
Reports to | Filter who you wish to include in this report. |
Departments (comma delimited) | Use this filter to specify which departments are included in this report, using commas to separate the departments. |
Companies (comma delimited) | Use this filter to specify which companies are included in this report, using commas to separate the companies. |
Order employees by | In this list, select whether you want to order your employees by department, employee ID, employee first name or employee last name |
Summary report - show Saturday hours | Saturday hours included in the summarised timesheet report are separated into their own column. |
Summary report - show Sunday hours | Sunday hours included in the summarised timesheet report are separated into their own column. |
