Send emails to job applicants from the company's address

Set the company's email address as the sender for job applicant emails.

With PeopleHR, you can reply to application emails from your company's email address such as HR@yourcompany.com only if you validated it.

If you don't set your preferred sending email address, by default, you send from noreply@peoplehremail.com.


Add your preferred email address as a sender

To add your preferred email address, follow the steps below:

  1. Click Access Button image then click HR Admin.

  2. Click Settings then ATS.

  3. Click Email Settings and enter your domain to register it.

  4. Click Save.

Identify the email you wish to use as the sender.

๐Ÿ“ŒNote: As you're sending emails generated from PeopleHR to your applicants, you're sending them from our industrial strength email servers. For this reason, your preferred email address is listed in the From field, but our email server is the sender.

What does this mean for deliverability?

Since spammers have been known to use a similar method to imitate legitimate email addresses, sometimes the applicant's mail providers will start to mark these messages as spam or block them altogether.

How can I avoid my emails from being blocked?

To avoid your emails being marked as spam, ensure you're performing the following:

  • To let mail providers know that your company allows us to send on your behalf, verify your domain. Provide your IT team with the DKIM and SPF records for your email domain.

  • Check the delivery feedback. To get a deliverability score and tips to improve, create a test applicant and replicate the application process.

  • Consider asking your IT team to create a separate email domain for users on the recruiting team.

  • Create longer templates. Short emails, especially ones that include links, are more likely to be flagged as spam.

  • Add specific content in the body and subject.

  • Don't send many identical messages at once.
