Configure your PTO policy and accrual rules

How to set up an accrual rule.

We have two different Accrual features on the system that allow you to set up automatic accrual for employees or the ability to add accrual manually.


Prepare an employee for accrual

  1. Click Access Button image then click Employee.

  2. Click the relevant employee then click the Planner tab.

  3. Click Settings then set the entitlement for this year and next year to 0.

  4. Select the Accrue Entitlement check box.


Create an automatic accrual rule

To create an accrual rule, follow the steps below:

  1. Click Access Button image then click HR Admin.

  2. Click Settings then click Accruals.

  3. Ensure the In Use check box is ticked then click the plus + icon.

  4. Select the In Use check box then enter a name for the rule.

  5. Select whether you wish this to be added to the employee's holiday entitlement or other event entitlement.

  6. Specify the accrual per month and whether this will be added on the first or last day of the month.

  7. Select the relevant maximum accrual then specify the maximum carryover rule.

  8. From the Length of Service drop-down menu, select the relevant option.

  9. Input filters if this is required for specific Company, Location, department or specific users.

  10. Then click Save.


Breakdown of accrual rule settings

See below an example rule that has been set up for a Retail assistant:

Field name

Purpose

In Use

Indicates if the rule is active.

Rule Name

Give the accrual rule a name.

Apply To

Determine which type of leave the rule applies to.

Duration

Set the number of days or hours the employees assigned to this rule will accrue.

Frequency

Set when the employee will accrue their allowance.

Maximum Accrual

Employees cannot hold more annual leave than the specified maximum accrual limit. Once this limit is reached, accrual will pause until the employee uses some of their leave.

Example: If an employee has 29 days of leave at the end of the month and the maximum accrual is 30, they will only gain 1 additional day. In the following month, no further leave will accrue unless their balance drops below the limit.

Maximum Carryover

The maximum amount of leave that will be transferred to the next holiday year if it remains untaken.

Length Of Service

Apply this rule to employees who meet a certain length of service criteria (in months).

Assignment filters

Use the filters to define which employees or groups the accrual rule applies to.

Test Rule

Shows employees who are eligible for this rule.
