To manage employee data effectively in People Analytics Premium, it's important to understand data access settings and user groups.


Data access

The data access setting defines which employees’ data a user has access to in People Analytics.

There are 3 data access levels:

  • All Employees: Users can see data about everyone in the company.

  • Direct Reports Only: Users can only see data about their direct reports.

  • Direct and Indirect Reports: User can only see data about their direct and indirect reports i.e. all employees below them in the organisation hierarchy.

📌Note: Some user groups can override data access settings. Please read the user groups section below for more information.


User Groups

The user group/s assigned to a user define what they can see in People Analytics, some user groups also override the data access settings.

There are currently six PeopleHR user groups, more may be added in the future as the content in People Analytics grows. Also, if you have another product that sends data to People Analytics, you may have user groups for that product.

There are two levels of viewing permission in People Analytics:

  1. Detailed View:

    • Users can drill down to individual-level data (names, departments, locations).

  2. Aggregated View:

    • Users see summarized data (e.g., totals by department) without individual details.

📌Note: more than one user group can be assigned and the permissions are additive. As an example, if a user is given Premium HR Users (Detailed) and Standard Users, the user would have an aggregated view of all employees (from the Standard User group) with the ability to see the detailed view for employees defined by the data access setting.
