Different ways to send a survey

There are various methods of sending out your survey which depend on whether or not you will be uploading panel data.

Sending your survey to your panel

The first three methods of distribution listed on the People Insight Platform use panel data – uploaded via a panel file, or participant file.

A panel file is an Excel sheet which lists all of the employees in your organisation. It includes data like their name, surname, email address and employee ID. Additionally, you can include other data such as length of service or department.

Method 1: Panel – unique links

If you are using a panel file, the most popular distribution method is by a unique link. This is the recommended approach when each invitee has an email address that they can access daily.

Each invitee will receive an email with a unique link to the survey. Using this method means you can send out targeted reminders to those who have not yet completed your survey.

Method 2: Panel via Employee ID Access Code

In the scenario where you do not have email addresses for all employees, but you do have unique employee IDs for each, you can use this method.

Simply upload a panel file ensuring you include the employee ID for each person. Each respondent can then log in to the survey by typing in their unique ID.

Method 3: Panel via Auto-Generated Access Code

The third option is for when neither unique employee IDs nor email addresses are available, but you still want to preload data.

In this case, the system can auto-generate passwords for each participant. However, you must consider how you will securely share passwords with participants. For more help with this, please speak to our Support team.

Sending your survey to other recipients

Not all organisations have participant data available to create a panel file, in which case, you also have options for sending your survey without a panel.

No Panel – Open the link without a password

If you do not have details for all employees, and therefore no panel file, you can create an open link survey without a password.

With this method, survey respondents simply access the survey link and begin the survey. When using this method, you will need to define the survey suffix (the last part of the survey link.)

Your survey link will take respondents straight into the survey. This is a simple, quick way to get access to your survey with no panel data.

No Panel – Open link with password/s

Another option is to have an open link with a preloaded password. You can configure the password in the system, and this will upload data for the respondent linked to that password. For example, you could use location names as passwords.

To set up your passwords, choose ‘No panel – open link with passwords’, switch the ‘Enabled’ toggle on and click ‘Configure passwords’.

You can enter multiple passwords. In the example of using location names, the password a respondent uses will tell you where they are based. This saves you from having to ask a question about location in the survey.

Combining distribution methods

It is possible to use both the Panel – Unique Links, and Panel – via Employee ID Access Code, methods of distribution. However, you cannot combine the Panel and No Panel methods.

QR codes and copying links

The Platform can generate QR codes for you to save and circulate. On the Distribution tab there are four methods of sending your survey, beneath each is a QR code generation icon:

Click on the icon and a QR code will be generated with the option to download and save it.

There is also the option to copy the survey URL link:
