Introduction to Restricted Admin

Learn how to use Restricted Admin roles in Performance Leader to manage users, view engagement data, and run reports within your scope.

As a Restricted Admin, you have the tools to manage users and monitor engagement within your specific department or team. This guide walks you through your key capabilities—from viewing engagement data to managing users and exploring powerful reports. Watch the embedded video for a visual walkthrough, then follow the sections below to understand exactly what you can do and how to do it. By the end, you'll feel confident navigating your admin responsibilities.

Understanding your scope

Your Restricted Admin access is limited to specific departments, roles, or locations. This scope determines all the data you can view and the changes you can make.

  • Open Engagement from the Admin section of the left-hand menu

  • Your scope is shown at the top of the page — e.g. "Restricted Admin: Departments: Commercial, Corporate • All Roles • All Locations"

  • All filters, reports, and user management options will reflect only the users within your assigned scope

Viewing engagement data

The Engagement page gives you a snapshot of how users in your scope are interacting with the platform.

  • Review key metrics like open reviews, open objectives, feedback rates, and check-ins

  • Use the filters at the top to refine your view by role, location, or other available options

  • Adjust the date range to analyse activity over different periods

  • Click Export PDF to download a report with your current view settings applied

Managing users

You can view and manage all users within your scope from the Manage Users section.

  • Go to Manage Users from the Admin tab

  • Use the search bar to find users by name, title, role, or other profile information

  • Toggle columns on or off to customise what information is displayed (e.g., show ID, hide location)

  • Apply filters to narrow down the list by role, location, or other criteria

  • To add a new user manually (if your firm doesn't use an automated sync), click Add User and complete the required fields marked with an asterisk

  • View deactivated users by selecting the relevant toggle

  • Export the current view at any time—note that only the filtered data you're viewing will be exported

Editing user data

To edit user information, click on the pencil icon next to the user you want to edit. This will open the user dialog (below) where you can modify the relevant fields—for example, change their supervisor or second supervisor information, or update their role, department, or location. Once you're done, click save.

Note: If you have an HRIS sync set up, the sync will override fields that have been mapped within the HRIS. For example, if your HRIS brings across reviewer information and that reviewer is updated in the system, it will be overwritten when the sync runs.

Exploring reports and insights

The Performance Intelligence section provides detailed reports tailored to your scope, helping you understand engagement patterns and identify opportunities for recognition or support.

  • Open Performance Intelligence from the Admin section

  • Review overall engagement data, sentiment scores, and leaderboards showing who in your department is most active

  • Explore module-specific reports, such as Fast Feedback or Objectives, to see detailed activity and quality insights

  • Interact with the reports by clicking through different views and filters—they're designed to be highly interactive

AI-powered insights: If your firm has enabled AI, you'll have access to advanced reports like feedback quality analysis and objective quality breakdowns. These tools use artificial intelligence to provide qualitative insights, helping you understand not just how much activity is happening, but how well users are engaging with the platform.

Using configuration and tools

While Super Admins handle system configuration, Restricted Admins can still export data and run email campaigns within their scope.

  • Open a module's admin area (e.g. Fast Feedback or Objectives) and select the Configuration & tools tab

  • Generate and export data as needed for reporting purposes

  • Run targeted email campaigns to nudge users or share important updates (see our separate guide on email campaigns for more details)

Tips for success

  • Regularly check your Engagement page to stay on top of activity within your scope

  • Use leaderboards to recognise high performers and encourage engagement across your team

  • Explore all available reports—they're designed to be intuitive and provide valuable insights at a glance

  • Remember that your scope determines everything you see and manage, so any data or changes you make apply only to your designated users
