Build a review first step (Reviewee)

Configure review steps, add feedback sections, set up self-reflection questions, and create goal-setting inputs to streamline your performance review process.

This guide will walk you through creating a review form in Performance Leader, step by step. By the end, you'll have configured a complete review cycle with feedback collection, self-reflection questions, and goal-setting inputs.

Understanding review form structure

Review forms in Performance Leader consist of multiple steps and pages. Each step can be assigned to different participants (employees, managers, or both), and each page can contain various input fields and feedback sections.

Key components:

  • Steps: Major phases of the review (e.g., self-reflection, manager review)

  • Pages: Individual sections within each step (e.g. Fast Feedback, Looking Back, Looking Forward)

  • Sections: Accordion blocks within a page that is used to group content. These are optional for most inputs.

  • Elements: Input fields, feedback displays, and other components you can drag and drop

In this example, we'll be building out a specific review design but the tool is flexible enough to adapt to your process.

Accessing the review builder

To access the review builder interface.

  1. Navigate to your review cycle and click Manage

  2. Click Configure steps and forms on the right side

  3. You'll see the drag-and-drop building interface with review steps at the top

Configuring review steps and responsibilities

Each review step needs a clear title and defined responsibilities to ensure the right people complete the right sections.

  1. Click on a step to select it (e.g., Step 1)

  2. In the step settings panel on the right, update the Step title (e.g., "Self-reflection")

  3. Set the Step responsibility to define who completes this step:

    • Employee

    • Primary supervisor

    • Secondary supervisor

    • Both (allows dual participation)

  4. Set a Due date as a reminder prompt (optional)

  5. Configure the Resources tab if you want to add reference materials in the side panel

Building page 1: Review feedback

The first page typically displays feedback received over a specific period, helping participants reflect on their performance. In this example, we embed data from the Fast Feedback module into the page.

  1. Click on the first page in your step

  2. Rename the page to "Review your feedback"

  3. Click Edit to add instructions at the top of the page

  4. Type or paste your instructions, format as needed, and click Save

  5. From the left panel, scroll to Output fields

  6. Drag and drop Fast feedback onto the page

  7. Configure the fast feedback settings:

    • Set the time period (e.g., last 6 months)

    • Enable AI summary button if desired

    • Add optional tooltips or input restrictions

  8. Click Save

AI-powered summaries

When you enable the AI summary button, participants can generate intelligent summaries of their feedback, making it easier to identify patterns and key themes in their performance data.

Building page 2: Self-reflection and goal setting

This page allows participants to reflect on their achievements and set objectives for the future.

  1. Create a new page and title it "Reflect and set goals"

  2. Add instructions following the same process as page 1

  3. Drag and drop a Section element from the left panel

  4. Title the section "Self-reflection"

  5. Add a Text area input inside the section

  6. Configure the text area:

    • Add your question (e.g., "What have you done well over the past six months?")

    • Set whether the field is required

    • Add placeholder text for guidance

    • Set a maximum character limit if needed

    • Add tooltips for additional context

  7. Duplicate the text area for additional reflection questions, or drag in new inputs

Adding objective review and creation

Allow participants to review existing objectives, comment on progress, and create new goals.

  1. Add another section titled "Review and add objectives"

  2. Drag in the Objectives (review) element

  3. Configure objective review settings:

    • Choose which alignments to show (or show all)

    • Set date filters to show only objectives created or updated within a specific period

    • Choose whether to include all updates or only the most recent

  4. Add a Text area for participants to comment on objective progress

  5. Add the Objectives (create new) element

  6. Configure new objective settings:

    • Choose whether to show existing objectives in this section

    • Select specific alignments or plans if required

  7. Click Save

Creating the confirmation page

A final confirmation page gives participants a chance to review their inputs before submission.

  1. Create a new page titled "Confirm and submit"

  2. Add instructions that encourage participants to review their responses

  3. Consider adding reflection prompts or reminders

  4. Save the page

Activating your review cycle

Once you've built your review form, you'll need to activate it to make it visible to participants.

  1. Click Save to save your review configuration

  2. Add participants to the review if you haven't already

  3. Click Activate to launch the review cycle

  4. Review the activation checklist:

    • Red warnings must be resolved before activation

    • Amber warnings are optional considerations

  5. Consider locking the configuration to prevent changes whilst the review is live

  6. Confirm activation

Your review cycle is now active and visible to participants. You can monitor progress and access all review data from the review cycle dashboard.

Tips for building effective review forms

  • Keep it focused: Only include questions and sections that directly support your review objectives

  • Use sections: Group related questions together to make forms easier to navigate

  • Provide context: Use instructions and tooltips to help participants understand what's expected

  • Test before launch: Add yourself to the review to test the participant experience before activating
