This guide walks you through viewing existing financial data, adding and editing employee records, and clearing data when needed. We'll also show you how to customise financial attributes and verify changes from the user's perspective.
Accessing financial data
Data Utilities is your central hub for viewing and managing financial information across your user base.
Log in to your super admin account
Open Utilities → Data Utilities from the admin menu
On the Financial data import card, click View existing data
This opens the Financial Data screen, where the toolbar across the top gives you all the available functions.
Managing financial data
Once you're on the Financial Data screen, you'll have access to several powerful tools to help you work efficiently with your data.
Use the search function to quickly locate specific users
Toggle columns on and off to focus on the information you need
Apply filters to narrow down your user list by role, department or other criteria
Access bulk update functions (covered in a separate guide)
Export data for reporting or analysis
Adding an employee
Adding financial data for a new employee is quick and changes take effect immediately.
Click the 'Add Employee' button at the top of the interface
Search for and select the user you want to add
Fill in the required financial values in the form
Click Add Financial Data to save
Editing existing financial data
You can update financial information for any user at any time.
Locate the user whose data you want to edit
Click the edit icon next to their name
Review the current financial data displayed in the form
Make your changes to any fields
Click 'Save'
Your changes take effect immediately and will be visible to the user straight away.
Clearing financial data
You have options for removing financial data, whether for individual users or in bulk.
To clear all data: Click Clear All at the top of the screen
Review the snapshot of users who will be affected by the data cleanse
Click Clear All Data in the confirmation dialog if you're ready to proceed
For more granular control:
Delete individual employees by clicking the delete icon next to their name, or
Select multiple specific users using the checkboxes
Click the Clear All option that appears at the top
Viewing changes from the user's perspective
It's good practice to verify that changes appear correctly to your users.
In Manage Users, open the employee's profile (click the view icon on their row)
Click Proxy Login to view the platform as that user
Open their financial data from their profile
Review how their financial information is displayed
This ensures the data is presented as intended and helps you troubleshoot any issues before users notice them.
Customising financial attributes
You can modify the headings and structure of your financial data to match your firm's requirements.
Go to Settings → Attributes
Select Financial (rows) or Financial (columns) from the category list
Edit the attribute names, types or structure as needed
Any changes you make here will automatically flow through to both the financial data editing table and the end user view—no additional configuration required.
Now that you're comfortable with viewing, updating and clearing individual financial records, you might want to explore bulk updating financial data for multiple users at once. This is covered in a separate guide on our help site.
