Using Training Diaries to capture learning

Learn how to use the Training Diary module to record your professional development progress, manage compliance entries, and export reports. Complete guide for recording CPD activities and reflections.

Welcome to the Training Diary module! This guide will help you confidently record your ongoing professional development, whether you're working towards a qualification or maintaining your continuing competence. We'll walk you through each key function step by step, from creating your first entry to exporting comprehensive reports.

If your diary uses the Full Cycle workflow — designed for qualified solicitors and fee earners — see Complete your Reflect, Plan and Do record and annual declaration for the reflection, goal, and declaration steps. This guide covers the core activity-logging experience, which is the same whether your diary is an Activity log or a Lighter diary with optional planning.

Accessing your training diary

Once your firm adds you to a relevant jurisdiction, you'll be ready to start recording your progress.

  1. Look for Training Diary in the menu on your left-hand side

  2. Click it to open your Training Diary home page

  3. You'll see a card for each diary you've been assigned to, showing the current CPD year dates, how far through it you are, and how many days remaining you have

  4. Click Open diary on the one you want to work in

If you haven't been assigned to a diary yet, you'll see a message asking you to contact your firm administrator — they'll need to add you to a jurisdiction before you can log anything.

Navigating and filtering your entries

Your diary shows one CPD year at a time, and you can move between them.

  1. Find the Cycle dropdown at the top of your diary — it shows the exact date range of the year you're viewing, for example 1 Apr 2026 - 31 Mar 2027

  2. Choose a different cycle to look back at an earlier CPD year

  3. Your entries, progress counter, and category breakdown all update to the cycle you've selected

If you want a specific date range rather than a whole cycle, use Export instead — the export dialog lets you choose your own range.

Creating a new entry

Recording your professional development activities is straightforward with our intuitive form.

  1. Click the blue + New entry button — this opens the Log activity dialog

  2. Check the Jurisdiction shown at the top is the right one

  3. Choose the relevant competency category (e.g., for SQE, you'll see appropriate headings). If your firm has enabled a secondary category, you can select more than one — useful when an activity covers several skills

  4. Complete the key fields required for your entry, including any firm-specific fields such as "Work done for" (recording who allocated the work)

  5. Complete the Learning Outcomes & Reflection field

  6. Select the date for your activity (you can backdate entries if needed)

  7. Click "Browse for your documents" to attach any supporting documents such as certificates or notes - Important: Don't attach documents that contain confidential client information. Redact any client names or details first

  8. Press "Save" to store your record

Managing your entries

You have full control over your training diary entries at any time.

  1. Click View on any saved entry to open the View activity dialog

  2. You'll see the title, date, hours, jurisdiction, and category at the top, with your description, learning outcomes, and any firm-specific fields below

  3. Select Edit to make changes to the entry

  4. Use Delete if you need to remove the entry entirely

  5. Click Close when you're done

Viewing your progress and compliance

Your progress is shown on the diary itself, so there's nothing extra to open.

  1. Look at the Progress readout on the right of your diary — on diaries with a target, it shows how much you've logged against how much you need, for example 2.5 / 10 hours

  2. Check the Activity categories panel beneath it for a breakdown of what you've logged in each category, and which categories are Mandatory

  3. Use the Cycle dropdown to compare against an earlier CPD year

  4. Go back to the Training Diary home page to see your days remaining and how many required categories you've covered

  5. Use this information to plan your future development activities

Exporting your training diary

Generate reports of your training diary for submissions or personal records.

  1. Click the "Export" button in your training diary

  2. Choose your preferred format: Excel or PDF

  3. Select the jurisdiction you want to export

  4. Choose your date range (or select "Custom" for specific dates)

  5. Click "Export" to generate your report

  6. Your complete training diary will download to your device

That's everything you need to effectively use the Training Diary module! If you have any questions, remember you can always refer back to the user guide within the platform or watch the video tutorial above.
