Create email campaign distribution lists

Create a reusable list of people to send email nudges to. Set up static lists or dynamic ones that update automatically based on user roles, review status, and activity filters.

Distribution lists make it easy to target the right people with your email campaigns. Whether you need to reach all partners, new associates, or people at a specific stage of their review, this guide will show you how to create and manage distribution lists that update automatically.

Accessing distribution lists

Distribution lists determine who in your firm will receive your email campaigns. Here's how to get started:

  1. Navigate to the Admin menu

  2. Click on 'Email Campaigns'

  3. Select 'Distribution Lists' from the menu at the top

  4. You'll see a list of any existing distribution lists, where you can review, edit, or delete them

Creating a new distribution list

Building a distribution list is straightforward and gives you plenty of flexibility:

  1. Click the '+ Create list' button

  2. Give your group a label (for example, 'Senior Associates')

  3. Leave Enabled for use on so the list is available for new campaigns

  4. Click 'Next' — the wizard has three steps: List details → Recipients → Review

Adding users to your list

You have several ways to select who should be included in your distribution list:

  1. Manual selection: Select individual users one by one from the list of existing users

  2. Search function: Use the search bar at the top to find specific users quickly

  3. User attribute filters: Filter users across the firm based on their attributes (see below)

  4. Advanced filters: Filter based on user activity within the platform (see below)

Using user attribute filters

User attribute filters let you select people based on their profile information, making it easy to target specific groups:

  1. Select from the filter options on the left side of the screen

  2. Choose attributes like role (e.g., 'Associates', 'Partners', 'Business Services Managers')

  3. Combine multiple attribute filters to narrow your selection

  4. Choose whether to include or exclude users matching those filters

  5. For example, you can show everyone who is not an associate, business service manager, or partner

  6. Select all users matching your criteria, or choose specific individuals from the filtered list

Using advanced filters

Advanced filters are based on user activity within the platform, giving you powerful targeting options:

  1. On the Recipients step, open the Advanced Filters section and choose a filter type from the dropdown

  2. Performance Review Status: Target users based on which stage they're at in a review, or how long they've been at that stage (e.g., users completing step 2 for longer than 2 weeks)

  3. Objectives filters: Find users who don't have any active objectives

  4. Fast Feedback filters: Identify users who haven't requested or given feedback for a certain period of time, with options to filter by specific feedback form types

  5. Contributor Nominations: Target users based on their contributor / 360 nomination status

  6. Contributor Incomplete Feedback: Find users with outstanding contributor feedback requests

  7. Combine multiple advanced filters to create precise targeting criteria

Choosing between dynamic and static lists

At the top of the Recipients step, the Dynamic Distribution List toggle controls whether your list updates automatically:

  1. Dynamic (toggle on): The list auto-selects recipients from your filters and updates as criteria change — for example, filtering by 'Partners' will include any new partners added to the firm

  2. Static (toggle off): The list stays fixed to the users you selected until you manually update it

Finalising your distribution list

Once you're happy with your selections:

  1. Click 'Next' to review a summary of your distribution list

  2. Check that the user count and filters match your expectations

  3. Click 'Create Distribution List' to save

  4. Your list is now ready to use in email campaigns
