Manage contributors and re-open contributor feedback

Step-by-step guide for admins on adding, removing, and updating contributors, sending reminders, and reopening feedback for 360 reviews.

This guide walks you through the essential functions you need to manage contributors in your review cycles—from adding and removing contributors to reopening feedback when needed.

Viewing contributor status

Before making any changes, you'll want to see where things stand with your contributors.

  1. Go to the Review Dashboard

  2. Select Enrollment to see the list of users in the review

  3. You'll see each user's contributor status displayed in the list

  4. Click the column headers to sort the data by different criteria (e.g., by contributor status, completion status)

Managing contributors

You can add, update, or remove contributors at any point during the review cycle.

  1. From the Enrollment view, click the Manage Contributor icon (or People icon) next to the user whose contributors you want to manage

  2. A dialogue box will appear showing the current contributor status

  3. To add a new contributor: Use the drop-down menu to select a user and add them to the review

  4. To remove a contributor: Click the delete option next to their name

  5. To send reminders: Select the option to send reminder notifications to contributors who haven't yet completed their feedback

Reopening contributor feedback

Sometimes you need to allow a contributor to update their feedback after they've already submitted it. The platform makes this straightforward whilst preserving the original data.

  1. From the Manage Contributor dialogue, locate the contributor whose feedback you want to reopen

  2. Select the option to reopen contributor feedback

  3. The feedback status will change to "open", allowing the contributor to access and edit their responses

  4. All previously submitted data is retained, so the contributor can review and update their feedback rather than starting from scratch

This feature is particularly useful when contributors realise they've missed important information or when circumstances change during the review period.
